Position Overview

The Ward Clerk plays a key administrative and support role within the long-term care environment, contributing to the efficient operation of the home and the delivery of resident-centered care. The Ward Clerk is responsible for maintaining accurate resident records, scheduling appointments and staff coverage, and supporting communication among residents, families, and the interdisciplinary care team. This position provides clerical and logistical support, assists at resident meal times as needed, manages supplies and transportation resources, and ensures confidentiality of all resident information. The Ward Clerk collaborates closely with staff while adhering to all organizational policies, procedures, and respectful workplace standards.

Key Tasks and Responsibilities

  • Assembles charts in preparation for resident admission.
  • Assisting Personal Support Workers with resident meal times
  • Disassembles and collates charts on discharge.
  • Schedules appointments and procedures including arranging transportation and securing escorts for the appointment.
  • Answering calls and queries.
  • Assist with staff call ins after hours and on weekends. Responsible for scheduling of staff in home, particularly replacement of staff who have called in ill, emergencies etc.
  • Filing and organizing resident records.
  • Facilitate communication between residents/families and the multidisciplinary team where appropriate.
  • Maintain inventory of taxi chits and Paratransit tickets
  • Makes photocopies and fax documents.
  • Maintains the confidentiality of all resident records.
  • Print quarterly medication review forms
  • Follows all Sherwood Park Manor policies and procedures.
  • Ensures a work environment that is conductive to SPM's Respectful Workplace Policy
  • Other duties as assigned.

Education and Experience Requirements:

  • A minimum of a one (1) year Diploma in a Medical Office Administration field from an accredited college.
  • At least 3 years of medical clerical experience is preferred.
  • To be knowledgeable of the residents bill of rights/governing principles and to endeavor to promote it
  • Uphold with SPM's Code of Conduct, Vision and Mission Statement
  • To work in a position of trust and vulnerable residents
  • Promote the organizations values and philosophy relating particular to ethics morality and integrity as set out at SPM
  • Demonstrates advanced customer service skills.
  • Demonstrates the ability to interact in a professional and caring manner with a diverse resident population.
  • Demonstrates ability to work with computer software applications including but not limited to PointClickCare, Microsoft Word, Excel, Outlook and MS Teams.
  • Demonstrates time-management, prioritization, and organization and problem solving/decision skills.
  • Is flexible and shows initiative.
  • Is detailed oriented.
  • Works calmly and carefully in a fast-paced long term care home.
