Job Summary:
The Service Writer is the primary point of contact for customers and plays a critical role in ensuring a smooth, efficient, and professional service experience. This person communicates repair needs, coordinates work with technicians, and ensures customers feel informed, confident, and taken care of — from drop-off to pick-up.
Key Responsibilities:
Customer Service & Communication
- Greet customers in a friendly and professional manner.
- Listen to concerns and document customer-reported symptoms accurately.
- Clearly explain recommended services, repair timelines, and costs.
- Maintain regular communication with customers during the repair process.
- Deliver a positive experience that builds trust and long-term relationships.
Repair Coordination
- Create repair orders with clear, detailed notes for technicians.
- Prioritize work based on shop capacity, safety concerns, and efficiency.
- Ensure technicians have the information and parts needed to complete repairs correctly the first time.
- Review completed work, verify accuracy, and prepare vehicles for customer delivery.
Parts & Inventory Support
- Identify needed parts and check in-stock inventory to support fast turnaround.
- Coordinate with parts suppliers when additional items are required.
- Help maintain accurate inventory records to support efficient shop operations.
Sales & Recommendations
- Present repair recommendations clearly and honestly
- Provide transparent pricing and obtain customer approval before work begins.
- Suggest maintenance services that improve safety, reliability, and performance.
Administrative Duties
- Maintain accurate repair orders, notes, estimates, and invoices.
- Process payments and ensure proper documentation.
- Uphold shop standards for safety, cleanliness, and professionalism.
- Listen to concerns and document customer-reported symptoms accurately.
- Clearly explain recommended services, repair timelines, and costs.
- Maintain regular communication with customers during the repair process.
- Deliver a positive experience that builds trust and long-term relationships.
Qualifications:
Required
- Strong communication and customer service skills.
- Experience in automotive service, customer service, or parts departments.
- Ability to explain technical information in plain, easy-to-understand language.
- Organized, efficient, and able to handle multiple tasks at once.
- Comfortable using shop management software and POS systems.
- Reliable, punctual, and detail-driven.
Preferred
- Basic understanding of automotive systems and terminology.
- Ability to read repair estimates and understand labor/parts breakdowns.
- Ability to explain technical information in plain, easy-to-understand language.
- Organized, efficient, and able to handle multiple tasks at once.
- Comfortable using shop management software and POS systems.
- Reliable, punctual, and detail-driven.
Physical and Legal Requirements:
Applicants should be able to lift over 50 lbs. comfortably, pass a drug and alcohol test, and provide a clean 5-year driving abstract (minor infractions acceptable). A valid Class 5 driver's license is required.
Work Environment:
- Fast-paced shop environment
- Frequent interaction with service advisors and shop manager
