What will you be Doing?
The
Account Coordinator
will apply account coordination skills and experience acquired working in the creative and technology industries to deliver communication solutions for our clients. Strong interpersonal and organizational skills are required. The Account Coordinator (AC) will provide support on one of our key clients, and associated partners, based in the USA – with potential to expand to other clients. You will serve as a supporting liaison between our client's business lines and your internal team at Catalyst. You will co-manage the materials we produce, the programs these materials enhance, pricing estimates, budgets, renewals, and relationships. Alongside your client services team members for your accounts, you will forge connections with client stakeholders that are grounded in trust, empathy, expediency, and collaboration. Your role involves delving deeply into our clients' world, comprehending their initiatives, challenges, audience, and culture. This AC will possess great time management skills – a person who is not only organized, but willing to help keep other team members get organized. We need someone who is comfortable working in a fast-paced, team-based, highly-collaborative, environment. Your Catalyst cross-functional teams are comprised of art and graphic designers, video editors, instructional designers, writers, developers, and project managers, who will support you in surpassing our clients' expectations in both quality and creativity of the communications and training materials we produce. Those who excel in this role are articulate, tech-savvy, detail-oriented, and eager to be constantly learning and improving.
Essential Job Duties & Responsibilities

- Correspond with client contacts on various program activities such as sending files for review, managing feedback, marking-up files with requested changes, gathering files/details/clarity as needed, status reports, file version control and filing, and general ongoing client requests/support. Ensuring that correspondence/activities follow agreed-upon schedules and timelines so that critical due dates are managed and not missed.
- Manage deliverables at the execution level and immediately escalate customer concerns or account issues as soon as they arise.
- Track and communicate appropriate signoffs from project sponsors and stakeholders for each project.
- Partner with Project Managers/Project Coordinators to contribute to the maintenance of project plans and project schedules (timelines); ensuring they're immediately aware of changes to planned work due client requests, client delays, etc..
- Support internal teams by ensuring work instructions are clear and delivered in a timely manner; respond to questions and seek additional information from resources as needed to support the team.
- Ensure that internal documentation is organized, shared and stored per processes.
- Help coordinate photo shoots including sourcing locations, talent, props, as needed.
- Assist in preparation of necessary presentation materials for meetings (status notes, meeting minutes, creative briefs, etc.).
- Participate in various meetings where appropriate with key stakeholders and contributors (e.g., status, creative briefs, client kick-off and pitches, annual business reviews, etc.. Take meeting notes, ensure tasks are delegated, and follow-up on important actions and decisions.
- Support on various tech platforms and aid in uploads, asset management, customer support services, voiceover and translation production/outputs, export/prepare/send reports, facilitate and participate in software QA, and more.
- Plan, schedule and work with external vendors which includes support in vendor correspondence and management such as project briefing, RFQs, POs, file and document sharing. Vendors could include printers, shipping/logistics, photographers/ videographers, model/talent agencies, software/platforms, freelancer graphic designers, etc..
- Receive and manage shipping requests (communication materials); coordinate between client and printing/shipping vendor(s) as needed.
- Complete and submit expense reports according to outlined deadlines and procedures.
- Some travel to the U.S. may be required
What Qualifications do you Need?
- Bachelor's degree in business or related field of study.
- One to three years' experience in related field.
- Exceptional verbal, written and presentation skills.
- Detail oriented and can manage the minutia of many projects, requests, styles/approaches, and preferences.
- Dependable, reliable and a self-starter who can complete their work effectively.
- Ability to work effectively both independently and as part of a team.
- Competency in Microsoft applications including Word, Excel, and Outlook.
- Knowledge of file management, transcription, and other administrative procedures.
- Ability to work on tight deadlines.

Preferred Requirements And Qualifications
- Some related experience working in marketing, advertising, or at a creative agency.
- Knowledge of the retail, health and safety, or food industry is beneficial as well as communication industry.
- Grocery or other retail experience is beneficial.
- Experience with training and learning management systems (LMS) is beneficial.
- Previous experience using Dropbox
