We are currently seeking a Construction Project Coordinator to support our Project Managers and Executive Team across multiple active projects. This role is ideal for a highly organized, detail-oriented professional who thrives in a fast-paced construction environment and takes ownership of their work.

Position Overview

As a Construction Project Coordinator, you will play a critical role in keeping projects organized, documented, and moving forward. You will support pre-construction, active construction, close-out, and internal operations while acting as a key point of contact between project managers, trades, suppliers, and leadership.

This role requires strong construction administration experience, the ability to work independently, and confidence handling drawings, documentation, procurement, and communication.

Key Responsibilities:

Project Planning & Pre-Construction

  • Review and interpret architectural drawings for construction estimating
  • Assist with project handoff meetings between estimating and project management
  • Prepare project startup documents, bid packages, procurement sheets, and proposals
  • Create and maintain organized project folders, templates, and digital records

Construction Phase Coordination

  • Order materials and coordinate suppliers to meet project schedules
  • Track RFIs, submittals, shop drawings, change orders, and procurement logs
  • Update job records and documentation in BuilderTrend and other platforms
  • Act as the first point of contact for trades and suppliers regarding drawings and job questions
  • Support site documentation including reports, photos, deficiency lists, and meeting minutes

Administrative & Executive Support

  • Provide administrative support to Project Managers, Executive leadership, designers, and office staff
  • Manage business and executive emails: prioritize, respond, file, and archive
  • Coordinate internal and external meetings, calendars, and appointments
  • Maintain company and executive files (digital and hard copy)
  • Perform research for project-related and internal business initiatives

Operations, SOPs & Systems

  • Support internal projects such as Tranual setup, SOP creation, and workflow documentation
  • Assist with implementation of new platforms, apps, and business software
  • Act as technical support contact for trades using company software or apps

Procurement, Logistics & Documentation

  • Coordinate deliveries (local and out-of-town), shipping, and logistics
  • Maintain trade and supplier master lists
  • Manage incoming and outgoing mail
  • Ensure accurate and confidential record-keeping across all systems

Project Close-Out & Warranty

  • Assist with deficiency tracking and close-out documentation
  • Compile warranties, manuals, and as-built documents
  • Support post-construction follow-up and warranty tracking

Qualifications & Experience

Required:

  • 5-7 years of construction administration experience
  • Residential construction experience strongly preferred
  • Experience supporting Project Managers or Construction Managers
  • Ability to read and interpret architectural drawings
  • Strong organizational, multitasking, and time-management skills
  • High attention to detail with minimal margin for error
  • Ability to work independently with limited supervision
  • Strong written and verbal communication skills
  • High level of professionalism, confidentiality, and accountability

Technical Skills:

  • Buildertrend (required)
  • Microsoft Office (Word, Excel, PowerPoint)
  • Adobe
  • Dropbox, ClickUp, Lucidchart or similar platforms
  • Comfortable learning and setting up new software systems

Preferred:

  • Experience with SOP development and workflow documentation
  • Experience supporting executive leadership
  • Experience in virtual or hybrid administrative support roles
  • Bachelor's Degree
