About the Organization

The Faculty of Engineering is a research-intensive faculty, with many research initiatives, programs and projects. In addition, the faculty has some complicated initiatives funded by special purpose funds that require oversight. This role will focus on supporting the post-award processes related to this work.

Job Summary

Reporting to the Manager, Finance, the Finance Clerk, Research and Special Purpose Funding serves as a key point of contact between faculty members, research staff, and Financial Services, helping to resolve discrepancies and ensure compliance with institutional policies and procedures. The role also includes preparing financial summaries and reports to support the Units and other senior leaders in effective financial decision-making.

Key Responsibilities

  • Maintain and reconcile financial records by coordinating with Principal Investigators (PIs) or Financial Services to ensure accuracy and compliance with university guidelines.
  • Support financial operations and documentation by preparing and processing payroll, account setups, journal entries, and various financial forms.
  • Support purchasing and expense activities for research projects, ensuring that materials and services are procured in accordance with policy and charged to the appropriate funding sources.
  • Issue invoices, track receivables, and follow up on outstanding accounts. Communicate with PIs or project leads regarding payment status and any related financial obligations.
  • Compile financial reports and summaries for project directors, providing clear and timely updates on account balances, commitments, and expenditures to support informed financial decision-making.

Note

Due to operational requirements, the successful applicant is required to work in-person on campus.

Required Qualifications

  • Business/Administrative Professional program with a minimum of three years' related experience (or equivalent combination of training and experience).
  • Proficiency with Office 365 (including applications such as Word, Excel, PowerPoint, Teams, OneDrive, Outlook, etc.).
  • Excellent communication, record keeping, and organizational skills are required, as well as the ability to work in a team environment.
  • Ability to work independently in a busy office setting and prioritize the workload.
