About The Role
Our Administrative Care Team is the first point of contact for patients and a key part of keeping our clinics running smoothly. This role can be based in Hamilton or Mississauga.

You'll support daily clinic operations, patient intake, scheduling, and billing while delivering a professional experience. We're looking to connect with professionals who value operational efficiency.

Key Responsibilities

  • Answer phones, emails, texts, and faxes promptly and professionally
  • Complete patient intake consultations and appointment booking
  • Optimize practitioner schedules, including coverage and changes
  • Manage billing and payments (direct billing/WSIB/HCAI experience is an asset)
  • Coordinate with insurers, medical offices, pharmacies, and external providers
  • Support office operations, supplies, and basic IT troubleshooting
  • Maintain a clean, organized, and professional clinic environment

Performance Expectations

  • Timely response to patient communications
  • Accurate and efficient billing and documentation
  • Strong schedule utilization and rebooking rates
  • Intake conversion and patient retention
  • Consistent adherence to clinic protocols and service standards

Qualifications

  • 2+ years in healthcare administration, clinic operations, or a similar role
  • Strong organization, attention to detail, and time-management skills
  • Professional, clear communication style
  • Ability to thrive in a fast-paced environment
  • Experience with EMRs (Jane App strongly preferred)
  • Proficiency in MS Office; CRM experience (e.g., HubSpot) is an asset
  • Flexibility to work evenings and weekends as needed

Compensation
BeWell Health Centers offer a range of competitive compensation consistent with your level of credentialing. This role will be a permanent full-time role.
