Job Description Summary

The Associate Admissions Advisor is responsible for the implementation of a comprehensive undergraduate admission processes to ensure the university achieves new student enrolment objectives (in terms of both quantity and qualities of students). The Associate Admissions Advisor executes admissions assessment for a discrete set of undergraduate applicants presenting, but not limited to: a) Canadian Secondary School curricula, American Secondary School curricula, the International Baccalaureate Diploma, Chinese Upper Middle School curricula, and GCE (UK-styled) curricula. Associate Admissions Advisors must exercise independent judgment while remaining in alignment with Senate-mandated admission policies and principles of practice (UBC s Principles of Effective Undergraduate Admission). The role works closely with internal and external partners to advise and support prospective students, with particular attention to international students, Aboriginal students, former Youth-in-Care, applicants who identify mental and physical disabilities, and Varsity Athletes. Associate Admissions Advisors determine access and placement for over 20,000 applicants annually, applying to 41 direct-entry and professional degree programs within 15 Faculties on two campuses.

Organizational Status

The Associate Admissions Advisor reports to the Associate Director, Undergraduate Admissions (Canada) or the Associate Director, Undergraduate Admissions (International). Their work is supervised on a day to day basis by a designated Admissions Advisors. The Associate Admissions Advisor works collaboratively with managers from other units within Enrolment Services and senior administrators within the Faculties on complex and unique individual cases to ensure accurate, expeditious enrolment management.

Work Performed

Evaluate Admissibility and Transfer Credit 80%

* Conducts a comprehensive applicant assessment (academic and non-academic) to determine admissibility for over 20,000 applicants to 41 direct-entry and professional degree programs within 15 Faculties on two campuses. Applies complex evaluation criteria and independent judgement to render admissions decisions that support student success and align with Senate-mandated admission policies and principles of practice (UBC s Principles of Effective Undergraduate Admission).

* Conducts qualitative evaluation of the applicant s personal profile to assess non-academic variables designed to assess students potential for success.

* Integrates an applicant s academic assessment, personal assessment, and presenting school and curriculum in relation to the intended area of study to render a judgment-based holistic admission decision.

* Uses sound judgement and analysis in discretionary cases to determine admissibility. Consults with Admissions Advisors on a daily basis and senior administration in Enrolment Services, Faculty administrators, and departments on more complex cases.

* Assesses an applicant s holistic record in order to proactively make an alternate offer of admission (i.e. an offer of admission to a program that the applicant did not apply to) that aligns with both the applicant s educational goals and the institution s enrolment goals.

* Analyzes Canadian and International educational documents to determine assignment of transfer credit.

Advise Prospective Students and Applicants 15%

* Communicates complex admission policies and procedures to prospective high school applicants in Canada and from around the world. Provides supportive advising that informs educational choices and influences student decision-making.

* Investigates and resolves complex, often sensitive, problems relating to admissibility in consultation with senior staff in the Admissions Office. This often includes properly supporting applicants who have been denied admission to UBC and helping to create an individual action plan towards an alternate educational pathway to UBC. Explains in detail the reasons the application was not successful to applicants and supports the Undergraduate Admission Appeal process.

Consequence of Error/Judgement

Associate Admission Advisors are fully accountable for their evaluation decisions and advising services provided to applicants. For the University, administrative errors by the Associate Admissions Advisor can result in appeals to the Senate Admissions Committee, higher demands upon Faculty administrators, and damage to the university s reputation at an international level. Furthermore, failure to achieve enrolment targets carries significant implications (including financial) for the University. For the University s applicants, the consequence of error is measured in lost opportunities for students, financial hardships, and failure to attain education goals. The decisions made by Associate Admission Advisors often require a good deal of discretion based upon judgement, are not routinely subject to confirmation, and are legally binding upon the University.

Supervision Received

Reports to and works under the general direction of the Associate Director, Undergraduate Admissions (Canada) or the Associate Director, Undergraduate Admissions (International). Their work is supervised on a day to day basis by a designated Admissions Advisors. Receives occasional guidance from Director, Undergraduate Admissions.

Works with moderate supervision. Receives general direction on new assignments and is expected to act within, and somewhat beyond, established policies and procedures. Unusual matters, technical problems, and any issues which fall outside policies and procedures are referred to senior staff.

Preferred Qualifications

Undergraduate degree in a relevant discipline.Minimum of one to two years of related experience or the equivalent combination of education and experience.Completion of a Bachelor s degree from a recognized university plus 1 year of experience in a registrarial and/or credential assessment setting, or equivalent combination of education and work experience. Excellent oral and written communication skills. Excellent judgment and interpersonal skills are a must - must be tactful and articulate in dealing with faculty, staff, and students in a multi-cultural context. Demonstrated research and analytical skills. Technically proficient in using computer software applications and operating and maintaining databases. Excellent customer service skills and attitude required; friendly, respectful, accurate and responsive. Ability to work independently and effectively in a high-volume office bound by University deadlines.
