We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong leadership skills and have a solid background in administrative functions, ensuring that our office runs smoothly and efficiently. This role requires excellent communication and organizational skills, as well as the ability to manage multiple tasks simultaneously. The Office Manager will play a crucial role in supporting our team and contributing to the overall success of the organization.

Key Responsibilities
Operations Management
- Oversee daily clinic operations and ensure smooth workflow and patient care delivery.
- Ensure all patients are scheduled, attended, and ready for billing.
- Identify process improvements to enhance operational efficiency.
Staff Management
- Supervise, train, and support front-desk and scheduling teams (on-site and offshore).
- Conduct performance reviews, support professional growth, and resolve conflicts.
- Foster a respectful, inclusive, and accountable workplace culture.
Culture & Communication
- Lead weekly or bi-weekly team meetings to review clinic goals, share updates, and reinforce professional standards.
- Address and resolve minor interpersonal or operational concerns promptly and professionally.
Administrative & Client Services
- Manage patient scheduling, intake calls, and communication with families.
- Support billing and insurance verification processes in collaboration with internal teams.
- Maintain clinic records, supply inventory, and vendor relationships.
Quality & Compliance
- Ensure compliance with healthcare regulations, privacy standards, and company policies.
- Uphold the highest standards of ethics, confidentiality, and patient care.
Qualifications
- Bachelor's degree in Healthcare Administration, Business, or a related field.
- Minimum 5 years of progressive experience in healthcare or clinic operations.
- Strong leadership and communication skills with a collaborative, solutions-focused mindset.
- Experience in Allied Health and Rehabilitative office manager is a must.
- Proven ability to manage multiple priorities in a fast-paced environment.
- Proficiency with scheduling and billing software
- No major licensing infractions involving patient care or fraud.
