As we continue to grow, we're looking for an Operations Coordinator to assist with both hands-on operations and customer support.

Position Overview

The Operations Assistant will be involved in both fleet maintenance and customer support. This role will include hands-on tasks such as vehicle cleaning, inspections, and reallocation, as well as office-based tasks such as user account management, service appointment coordination, and handling direct customer support requests related to vehicle issues. The ideal candidate will be organized, adaptable, and detail-oriented, with a strong ability to manage multiple tasks in a fast-paced environment.

Key Responsibilities

Fleet Maintenance and Vehicle Logistics:

  • Ensure all fleet vehicles, at sites and on the lot, are in good condition and always customer ready.
  • Reallocate vehicles across Ottawa to ensure that each car is placed in the appropriate location for customer use or maintenance/inspection.
  • Schedule and coordinate vehicle maintenance, including service appointments, detailing, repairs, and inspections.
  • Schedule external washing and perform interior touch-up cleaning of vehicles between details, ensuring that all cars are prepared for customer use.
  • Inspect vehicles regularly for any damage, maintenance needs, or operational issues, and report findings accordingly.
  • Maintain accurate records of vehicle condition, inspections, and service history.
  • Other duties as required.

Customer Support and BackOffice User Support:

  • Handle direct customer requests related to vehicle issues, such as trip troubleshooting, technical difficulties, and account set up.
  • Approve new user accounts in the system and ensure that all new users are properly onboarded and set up.
  • Monitor reservations and contact users who have not returned vehicles on time, coordinating solutions as needed.
  • Attend to vehicle tickets in the BackOffice system, addressing issues such as low battery, vehicle cleaning needs, and other system-generated maintenance tasks.
  • Report any customer feedback or operational issues and suggest improvements as necessary.
  • Other duties as required.

Required Qualifications

  • Minimum 25 years of age (due to insurance restrictions), class G driver's license with a clean 3-year driver's abstract.
  • Experience in Operations: 1-2 years in operations, fleet management, or a related field; experience in car rental, carsharing, or automotive services is a plus.
  • Physical requirements: Ability to perform physically demanding and repetitive tasks, comfortable with interior vehicle cleaning/touch up, inspection, and transportation across locations. Experience with cars is an asset.
  • Customer Service: Strong communication and interpersonal skills, and the ability to handle customer inquiries and requests in a professional manner.
  • Teamwork: Work well with team members such as other departments and dealership locations.
  • Problem-Solving: Ability to identify maintenance or operational issues and prioritize/report/escalate them as needed.
  • Tech-Savvy: Familiarity with digital tools and software for scheduling and tracking vehicle maintenance, as well as basic fleet management systems.
  • Detail Oriented: An attention to detail when inspecting vehicles and maintaining accurate records.
  • Proficiency in English required, French considered a strong asset.

Preferred Qualifications

  • Automotive knowledge or experience with fleet management.
  • Experience with vehicle cleaning or detailing.
  • Knowledge of Ottawa-Gatineau and the ability to navigate the region efficiently for vehicle reallocation.

Compensation and Benefits

  • Salary: $20.00 hourly, with the possibility of advancement.
