Description

As a Contract Administrator, Co-op, you can expect to support and work collaboratively with a team of about 30 colleagues on clearing functional mailboxes ensuring all requests are logged and added to worklists.   You will be ensuring that all requests for Funding and Documentation are either picked up by our Robotic Automation Processing or handled manually.

Day to day 

  • Ensure all email queues are cleared every ten minutes. 
  • Update and record all incoming requests for documentation and funding in our front-end systems so members are seen on worklist and deals are date and time stamped when received. 
  • Create Files in the system for all requests along with spreadsheet tracking when required. 
  • Ensure all inquiries are directed to the appropriate department if not for Contract Administration.
  • Responsible for alerting team leaders or managers if SLA's are not being met. 
  • Assist with file preparation for imaging.
  • Assist from time to time with PPSA registrations and search requests 
  • Accountable for achieving daily, weekly, and monthly KPI's and SLA's 
  • Develop and maintain a positive consultative relationship with customers, and co-workers in support of the overall sales effort.
  • As part of the Contract Administration team the Contract Specialist will also be called upon from time to complete other administration responsibilities to ensure effective workload for the entire team

Essentials

  • Ability to work from home remotely/independently and in a virtual team environment and in-person/in-office (approx. 2-3x per week)
  •  Ability to work in a very fast-paced environment
  • Ability to stay focused 
  • Customer service skills including the ability to interact with end use customers, vendors and dealers and members from all levels of the organization
  •  Excellent verbal and written communication skills
  • Ability to identify exceptions and manage resolution 
  • Capable of driving growth capacity by continuously looking for better ways to improve processes
  • Ability to enter data accurately and efficiently
  • Must be enrolled in a post-secondary education co-op program.
  • Bilingual (French/ English) is an asset
