Job Summary

The Lead, Events and Partnerships is responsible for the development and management of impactful and high-quality activations of library spaces, specifically events and 3rd party bookings at Central Library and Memorial Park Library and externally presented or partner-led programming in all library locations. Reporting to the Director, Programming, the Lead, Events and Partnerships is responsible for: identifying potential opportunities, customers, and partners; facilitating and coordinating the involvement of community stakeholders and other Library departments and assets; and evaluating customer satisfaction and attainment of related Library strategic goals. This position provides day-to-day supervision of team members, vendors, and suppliers and contributes positively to change, working collaboratively and constructively as part of the Programming leadership group.

Responsibilities and Activities

1. Shape a Positive User Experience:

  • Maintain awareness of current topics, trends and opportunities among targeted literacies and audiences
  • Oversee the identification and development of community partnerships, vendor and customer relationships for program and event delivery in alignment with the Library's strategic priorities and system program goals.
  • Make technology, facility, and process recommendations to enhance event and program delivery capacities.

2. Facilitate Capacity Development:

  • Lead the Events and Program Partnership team in identifying, planning and implementing large scale events, 3rd party bookings, and/or externally presented programs for the Library
  • Act as an educator, advisor, or collaborator to other Departments in areas of personal expertise or deliverable development. Contribute to system-wide committees as required.
  • Manage resources effectively to meet time and financial constraints, including identification and mitigation of risks. risks to Calgary Public Library Restricted Use
  • Continuous professional development as a Lead and future leader.

3. Relationship Management:

  • Liaise with the Library Foundation to support deliverable-related initiatives and campaigns as required.
  • Represent the Library amongst related inter-organizational forums and groups and contribute to successful partnership development.
  • Act as the Library point of contact for related customers, partners, suppliers, and external project teams

4. Evaluation:

  • Embed satisfaction and effectiveness measures in deliverables and processes
  • Review results and report regularly

5. Apply Operational Standards & Procedures:

  • Effective recruitment, training, supervision and development of direct reports including performance and attendance management.
  • Ensure adherence to Agreements, Policies, Standards and contracts for self and team members
  • Use recognized project management principles and techniques to successfully meet deliverable expectations for scope, time and budget
  • Drive the development of related capabilities, competencies and processes and provide related training

6. Execution:

  • Projects are conducted in an effective manner that respects the needs of other staff and departments and projects credibility and professionalism to other stakeholders. Indicators include:

Qualifications

Educational Qualifications: A recognized undergraduate degree

Work Experience:

  • A minimum of three years of directly related and progressive experience, including working independently with clients andleading multi-functional teams.
  • Demonstrated ability to gather and use a variety of data, including use of applicable software technologies.
  • Excellent interpersonal and relationship-building skills.
  • Superior communication (verbal and written), problem solving, and decision-making skills.
  • Advanced technological literacy skills.

Specialized Knowledge and Practical Skills:

Working knowledge of:

  • Event or meeting management principles
  • Customer relationship management
  • Presentation technologies
