Under the direct supervision of the Manager of Library Services, the Library Records Management Clerk is responsible for assisting in the Division's compliance with the City of Winnipeg Records Management By-Law, including the coordination and preparation of Divisional records for destruction, and the organization and digitization of Divisional archival records. This position assists with the development and maintenance of records management tracking systems and standard operating procedures that align with the City of Winnipeg Records Management By-Laws. This position includes special projects as assigned and consistent with the classification.

As the Library Records Management Clerk, your duties will include:

  • Coordinates and reviews requests for transfer or destruction of records for the Division to ensure compliance with City of Winnipeg Records Management By-Law.
  • Maintains storage of Divisional records, ensuring compliance with City of Winnipeg Records Management By-Law
  • Assists with standard operating procedures and training materials to ensure Divisional staff comply with City of Winnipeg Records Management By-Law
  • Completes special projects or tasks related to records management to maintain an accurate inventory of materials.
    Performs general office duties

Your education and qualifications include:

  • High school diploma, GED or equivalent combination of education and experience.

  • Education in records management, archival studies, or business administration is considered an asset.

  • A minimum of 3 years working in a business office environment.

  • A minimum of 1 year working in a data entry or warehouse/inventory role is considered an asset.

  • Experience using office software applications, such as Word, Excel, Outlook, and SharePoint.

  • Proficient typing skills with a minimum speed of 40 WPM.

  • Ability to complete data entry accurately and maintain precise records.

  • Ability and willingness to learn and adopt new technologies and software.

  • Ability to follow written and verbal instructions.

  • Strong written communication skills, including the ability to effectively communicate ideas to others in formal and informal written documents.

  • Strong verbal communication skills.

  • Good problem solving stills with the ability to act with discretion, tact, and good judgement.

  • Self-directed and well-organized, with the ability to prioritize work and meet deadlines.

  • Knowledge of the City of Winnipeg Records Management By-Law.

  • Ability to work collaboratively as part of a team.

May be required to undergo testing to determine their knowledge and abilities as they relate to the qualifications of the position.
