Shift: Part time-Monday, Wednesday and Friday; 11:00am-7:30pm
SUMMARY
The Operations Administrator plays a crucial supporting role within the Operations Department. This position involves assisting in the daily administrative tasks associated with routing, dispatching, and other operational activities.
PRIMARY RESPONSIBILITIES
- Assist in the preparation, key in, editing and processing of incoming and outgoing bills and verify data accuracy.
- Preparing and organizing manifests and other relevant paperwork
- Input, analyse and update data into the system, preparation of spreadsheets and relevant reports. Update in a timely manner for easy analysis.
- Handle incoming calls, electronic inquiries and messages from customers, providing assistance or directing them to the appropriate personnel.
- Sorting, scanning and auditing bills/invoices and other paperwork ensuring proper documentation
- Data collection to prepare reports and spreadsheets
- Document and coordinate flow of information regarding operational issues and forward to relevant parties
- Ensure that all relevant information is accurately recorded and processed in a timely manner.
- Assist in organizing and maintaining filing systems, both physical and electronic, for ease of reference and retrieval.
- Provide general administrative support as needed to the Supervisor and other operations team members.
- Perform additional duties as assigned.
REQUIREMENTS/QUALIFICATIONS
- Previous experience in an office or administrative role, preferably within a dispatch or logistics environment.
- Strong organizational skills and attention to detail.
- Basic knowledge of dispatch and routing processes is an asset.
- Excellent communication skills, both verbal and written, with the ability to interact effectively with drivers, customers, and team members.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to multi-task and prioritize effectively in a fast-paced environment.
- Ability to work effectively both independently and as part of a team.
