Job Summary & Requirements
Reporting to the Manager, Environmental Services, Laundry and Linen, the Supervisor is responsible for engaging, motivating, and empowering approx. 200 highly motivated Environmental Service and Laundry & Linen employees.
Environmental Services (EVS) is staffed by a dedicated team, responsible for the deactivation of bio-contaminants and aesthetic cleanliness of the health center which includes two off site locations. EVS cleans approximately 800,000 square feet. To enhance the team's effectiveness, Supervisors are responsible for ensuring that all staff proficiently use cleaning chemicals, processes, and equipment to adhere to Provincial Infectious Disease Advisory Committee (PIDAC) Best Practices.
The Supervisor is to ensure staff are adhering to all standards, policies, procedures, safety guidelines and collective agreements. Supervisor ensures all staff have the necessary tools and orientation to perform their functions of the position while ensuring the department is safely staffed to keep the environment safe for staff, patients, and visitors. The Supervisor is to audit and evaluate staff to ensure the environment is safe and standards of cleaning are adhered to.
The Supervisor will support the Educator with building tools and processes for standardized evaluation of the EVS programs effectiveness. The Supervisor will work collaboratively with all areas in the health care facility and with various leaders to ensure RVH EVS & Linen policies and procedures are aligned with provincial best practices and RVH standards.
As a qualified candidate you will meet the following requirements:
Education:
- Community College or Equivalent Required
- Canadian Healthcare Housekeepers Association Leadership Program (CHHA) an Asset
- Health & Safety Certificate an Asset
- Infection Prevention & Control Novice Certificate an Asset
Experience:
- Minimum 2 Years experience as a supervisor in a unionized healthcare setting
- Experience scheduling and understanding Collective Agreements
- Knowledge of cleaning practices as outlined in Provincial Infectious Disease Advisory Committee Standards (PIDAC)
- Knowledge of Floor Care – waxing, stripping, burnishing, carpet extraction, handling of various floor care equipment
- Incident Management System – hazard mitigation and reporting an asset
- Education and Orientation of Staff
- Knowledge of Chemical products – intended use and dilution rates.
- Infection Prevention & Control and how it relates to cleaning & disinfection
- Working knowledge of Quality Improvement methodologies or LEAN principles an asset
- Recruiting Candidates
- Coaching, Evaluating and HR related meetings with staff
Competencies:
- Intermediate knowledge of Microsoft Office Applications – Outlook, Word, Excel, & PowerPoint
- Excellent Customer Service Skills
- Multitasking, Organizational, Interpersonal, and Time Management skills are essential
- Ability to engage and service all hospital partners in a timely manner
- Ability to facilitate sessions/huddles with staff
- Understanding of policies and procedures
- Ability to maintain confidentiality
- Demonstrate good attendance and performance records with the ability to maintain these same standards
- Critical thinking, strategic thinking, and ability to problem solve.
- Understanding of computerized software applications related to staff routines/job requirements
- Ability to listen and provide emotional support and resources to staff
Responsibilities:
Human Resources/People Partnerships:
- Attend meetings held with HRC & Union as assigned
- Facilitate meetings as required and understand the ethical discipline policy
- Attendance management meetings
- Attend Grievance meetings and understand the collective agreement
- Complete Personal Change Forms as required
- Management of emails, text messages and administrative duties as required
- Attend Return to Work and accommodation meetings with People Health & Well Being as scheduled
- Follow up on Incident Management System (IMS) staff incidents and investigate, follow up with progress notes
- Manage the Learning Management System (LMS) and hold staff accountable to complete mandatory courses
- Performance reviews - manages staff and documents
- Attend department meetings and participate in development of agenda

Recruitment/Staffing:
- Prepare postings in the recruitment management system in PeopleSoft
- Screen Candidates
- Manage Excel Recruitment Log
- Set up phone screen appointments and perform the phone screen with candidate
- Set up and conduct Interviews
- Make hiring decisions and offer successful candidates a position with start date of orientation and department training
- Run daily flow sheets
- Complete annual vacation planners and biweekly schedules
- Distribute workload for frontline staff as appropriate to meet the needs of the department
- Timecard Reconciliation & timely actioning of scheduling requests in UKG
Education:
- Orientating new staff as required
- Facilitate Education to staff aligning with Best Practice and Policies
- Oversee staff working and evaluate they have the required skills and knowledge to perform the duties as outlined in their work routine
- Walk staff through new areas of work to ensure they have the tools and understanding of what's expected in the routine assigned
- Educate staff on the safe operation and maintenance of floor care equipment
- Educate staff on cleaning and disinfection procedures
- Educate staff on infection control and hand hygiene practices
- Weekly Huddle preparation and facilitation
- Required to participate in educational courses/opportunities to support professional development in our ever-changing environment
Auditing/Performance Management
- Perform daily audits which are not limited to visual, glow germ, eye wash, cart, closet and observational
- Provide real time feedback to frontline staff
- Develop education plan related to audit outcome
- Walkabouts on units to check in with staff
- Implementing/conducting annual performance/observational audits
Management of Supplies:
- Inventory equipment supplies, create order and obtain manager approval
- Manage Preventive Maintenance appointments and repairs, log and save to SharePoint
- Waste Management supply ordering as required
Facility Fit Pro Software:
- Update and develop routines as required
- Manage reports for daily task outcomes
- Manage Bed Board to support discharge completion in a timely manner
- Manage Staff tiles to support those requiring support based on progress bar percentage and colour of tile, green, yellow, red
- Distribute workload amongst available staff
- Handle unscheduled tasks by assigning to appropriate routine
Organizational Response:
- Responding to requests by phone, email, or text
- Managing email inbox for portering requests
- Assign meeting room setups to portering staff
- Attend Bed Meetings Daily
- Attend Outbreak Meetings as scheduled
- Respond to Emergency requests for example: flooding
Linen:
- Manage linen ordering with the online HLS ordering system
- Manage the RVHLinen inbox and manage requests
- Email HLS to increase or decrease linen needs
- Support staff with day-to-day requests
- Ensure staff are following safety tips when portering
Perform other duties that may be assigned by the Manager
