Position Overview

The Export Coordinator is responsible for managing and coordinating all export activities, including the preparation of necessary documentation, ensuring compliance with international trade regulations, and overseeing the logistics of shipments to international destinations. The Export Coordinator ensures that all shipments are processed efficiently, on-time, and in compliance with relevant laws, supporting the timely and accurate movement of goods across borders.

Shipment Coordination and Documentation Management

  • Coordinate the preparation and submission of all export documentation, including export declarations, bills of lading, packing lists, and commercial invoices.
  • Ensure all export documents are accurate, complete, and in compliance with customs and shipping regulations for each destination.
  • Work with internal teams and external partners (e.g., freight forwarders, carriers, customs brokers) to ensure the smooth and timely movement of shipments.
  • Monitor the status of shipments from origin to destination, ensuring that any delays or issues are identified and resolved promptly.
  • Assist in the scheduling of shipments and ensure that all export arrangements are aligned with customer expectations and operational timelines.

Compliance and Risk Management

  • Ensure that all export processes comply with local, national, and international trade regulations, including customs laws, export controls, and sanctions.
  • Review export documents for accuracy and ensure that products are classified correctly for export, in accordance with the Harmonized System (HS) codes.
  • Stay informed of any changes in export regulations, and assist in ensuring that the company remains compliant with global export laws.
  • Help identify potential compliance risks in export operations and implement mitigation strategies to avoid delays or fines.
  • Maintain records of all export transactions, including detailed documentation, shipment tracking, and communications with relevant authorities.

Vendor and Carrier Management

  • Collaborate with freight forwarders, shipping companies, and other logistics providers to ensure timely and efficient movement of goods.
  • Work with vendors to obtain shipping quotes, compare rates, and ensure cost-effective export solutions.
  • Ensure that carriers adhere to agreed shipping terms, service levels, and schedules, and address any issues or delays as they arise.
  • Review vendor invoices for accuracy, ensuring that shipping charges are in line with contracted rates and terms.

Customer Service and Communication

  • Serve as the main point of contact for customers regarding their export shipments, offering timely updates and resolving any issues or concerns.
  • Communicate effectively with customers, providing guidance on export documentation requirements and shipment timelines.
  • Ensure high levels of customer satisfaction by proactively managing expectations and addressing concerns in a timely and professional manner.
  • Provide export-related support to customers, assisting with any questions regarding shipping processes, duties, or regulatory requirements.

Data Entry and Record-Keeping

  • Maintain accurate records of all export shipments, ensuring that all necessary documents are completed and filed in accordance with legal and company requirements.
  • Ensure that all export-related data, including shipment tracking, customs declarations, and invoices, is entered into the company's logistics systems accurately and on time.
  • Generate export performance reports, tracking key metrics such as on-time delivery, cost efficiency, and compliance adherence.
  • Organize and file documentation to support efficient record retrieval for audits, reporting, and internal review purposes.

Process Improvement and Efficiency

  • Identify opportunities to improve the export process, reduce lead times, and streamline documentation.
  • Work with the operations team to implement process improvements that can enhance efficiency, minimize errors, and reduce costs.
  • Continuously assess current workflows and suggest best practices to improve overall productivity and service levels.
  • Contribute to ongoing projects aimed at optimizing export operations and reducing bottlenecks in the logistics process.

Problem-Solving and Issue Resolution

  • Address and resolve any issues that arise during the export process, such as delays, customs holds, or discrepancies in documentation.
  • Work with internal teams and external service providers to resolve any shipping or customs-related issues promptly.
  • Proactively monitor for potential problems in the export process and work to prevent them before they affect the timeline or customer satisfaction.
  • Escalate complex issues to senior management when necessary, ensuring timely resolution to minimize disruptions.

Financial and Cost Management

  • Assist in managing the financial aspects of export operations, including verifying freight charges, customs duties, and other related costs.
  • Monitor and track shipping costs to ensure that exports are completed within budget and on schedule.
  • Support cost analysis efforts by reviewing vendor invoices, comparing rates, and identifying potential cost-saving opportunities.
  • Help manage export budgets and report on any financial discrepancies or issues related to shipping and customs charges.

Job Requirements

Qualifications And Experience
Education and Licensing

  • Associate degree in Logistics, Supply Chain Management, Business Administration, or a related field (preferred).
  • Basic understanding of international trade, export documentation, and customs procedures (required).
  • Relevant certifications in logistics, export compliance, or freight forwarding (preferred but not required).

Professional Experience

  • Minimum of 1-2 years of experience in export coordination, logistics, or supply chain management.
  • Experience with export documentation, customs procedures, and shipping coordination is preferred.
  • Familiarity with international trade regulations, export controls, and tariff classifications.

Skills and Competencies

  • Strong attention to detail and accuracy in reviewing export documentation and managing shipments.
  • Excellent organizational and time-management skills, with the ability to manage multiple shipments and deadlines simultaneously.
  • Strong communication skills, both written and verbal, with the ability to engage effectively with customers, vendors, and internal teams.
  • Proficiency in logistics software, customs systems, and Microsoft Office Suite (Excel, Word, etc.).
  • Ability to work well independently and as part of a team, with a proactive approach to problem-solving and customer service.
  • Strong analytical skills, with the ability to review data, identify issues, and propose solutions.
