Woodside Farm is looking to hire an Events Coordinator/Administrator to join our team of enthusiastic and positive people This role is ideal for someone who enjoys combining event planning, guest experience, and hands-on coordination in a welcoming, rural setting.
We are looking for:
- Experience in event coordination, hospitality, tourism, or customer-facing roles.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong computer skills including booking platforms, calendars, and basic office software.
- Ability to work weekends and occasional evenings as required by events. Expect your work week to include most weekends.
- Self-motivated, adaptable, and comfortable in a dynamic farm environment.
- Interest in agritourism, hospitality, or community events is an asset.
- Preference given to candidates who live in Sooke but open to those from Langford/Victoria.
The roles and responsibilities include:
Event Operations & Execution
- Coordinate all logistical aspects of events, including schedules, staffing needs, vendors, setup, and teardown.
- Act as the primary on-site point of contact during events to ensure smooth execution and a positive guest experience.
- Liaise with external partners (vendors, entertainers, instructors, caterers, etc.) as required.
- Ensure events align with farm policies, safety requirements, and brand standards.
Guest Experience & Customer Service
- Serve as a front-facing representative of Woodside Farm, responding to event inquiries via email, phone, and booking platforms.
- Handle guest communications before, during, and after events, including confirmations, reminders, and follow-ups.
- Resolve guest issues or concerns professionally and promptly.
Other Responsibilities:
- Collaborate with the Marketing Director on event promotion, including website updates, social media coordination, email campaigns, and on-site signage.
- Manage the Country Inn/Airbnb booking and pricing systems.
This is a full time, salaried position to begin immediately. Part time would be considered for the right candidate. Salary will be negotiated based on relevant experience.
