Job description

Job Title: Medical Office Assistant

Reporting To: Clinic Manager

Days of work: Casual, On-Call

iScope Concussion & Pain Clinics is a specialized treatment and assessment centre offering a range of services and treatments with several locations across Canada. Our clinics use a variety of diagnostic tools to identify the root cause of a patient's pain. Our team of highly skilled Physicians and Allied Health Professionals work together and provide a personalized treatment plan so our patients can feel better sooner. We are committed to helping patients manage their pain effectively and improve their quality of life, in addition to a seamless and positive healthcare experience while providing a high standard of care.

ROLE SUMMARY:

The Medical Office Assistant/Receptionist will play a crucial role in ensuring the efficient and smooth operation of our outpatient clinic. They will be responsible for providing excellent customer service to our patients, managing appointment bookings, maintaining patient records, and providing administrative support to the clinic staff.

We are looking for someone who lives in North Vancouver who can quickly and easily commute to our clinic.

KEY RESPONSIBILITIES:

  • Warmly welcome patients as they arrive at the clinic, ensuring a positive and welcoming experience.
  • Maintain the cleanliness and tidiness of the reception area and lobby to ensure a welcoming environment for patients.
  • Regularly check reception voicemail and email, responding to inquiries and messages promptly and escalating concerns as needed.
  • Collaborates with therapists and the Rehabilitation Scheduling Coordinators to ensure patient appointments are booked accordingly and make necessary adjustments.
  • Create and maintain accurate patient records, including confidential information such as change of address, change in physicians, adjusters, or pharmacy, consent forms and test results, while adhering to PIPA guidelines.
  • Prepare billings and collect patient payments, ensuring accuracy and compliance with billing procedures.
  • Provide administrative support to the Clinic Manager as needed.
  • Assist in training and onboarding of other clinic staff as needed.
  • Promote a culture of safety within the clinics.
  • Places supply orders with external suppliers, receive supplies and distribute accordingly. Keeps an inventory record for future supply orders. Checks invoices when applicable against orders and supplies received. Contacts suppliers to obtain and/or provide general information when needed.
  • Identify areas for process improvement and efficiency within the clinic and propose solutions to enhance operations.
  • Performs other related duties as required.

EDUCATION AND EXPERIENCE

  • High school diploma or equivalent; additional medical office assistant training is a plus.
  • Prior experience in a medical office or healthcare setting is required.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Proficiency in using office software and electronic health record (EHR) systems.
  • Strong organizational and multitasking skills.
  • Knowledge of PIPA regulations and patient confidentiality.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and a commitment to accuracy.
  • Excellent customer service skills, warm and friendly disposition, willingness, and appetite for helping clients/ patients, ability to adapt to change.
  • Proven efficiency and ability to work in a fast-paced environment.
  • Outstanding phone etiquette and a positive attitude are essential to this role.
  • Demonstrates professionalism, empathy, and can act as a team player.
  • Ability to multi-task, organize, and prioritize changing workloads and schedule variances.
