About Mind 2 Heart

Mind 2 Heart Connections is a neuro-affirming psychotherapy clinic in Barrie serving children, youth, adults, couples, and families. We value inclusion, compassion, and thoughtful care — and we intentionally create a safe, welcoming space for both clients and staff.

This role is especially well-suited for students or graduate-level learners who are interested in mental health, social work, psychology, counselling, or related fields.

About the Role

We are looking for a Client Care Coordinator to join our Admin Team and support the front desk operations of our growing psychotherapy practice.

This role offers meaningful exposure to a private mental health clinic, while building practical skills in client communication, confidentiality, scheduling, and clinic operations.

Shifts include:

  • Two evenings per week (3:00–8:00 or 9:00 pm)
  • Saturdays (9:00 am–4:00 pm)

This role reports to the Clinic Manager and includes training and ongoing support.

What You'll Learn & Do

  • Welcome clients and help them feel comfortable and supported
  • Answer client calls and emails with professionalism and care
  • Support client bookings, scheduling, and payments
  • Manage intake and consent forms
  • Learn about confidentiality, boundaries, and ethical clinic practices
  • Support clinicians with scheduling and administrative needs
  • Work with booking software and digital systems used in private practice
  • Help maintain a calm, organized, and welcoming clinic environment

You'll Thrive in This Role If You…

  • Are interested in mental health or helping professions
  • Enjoy working with people in a supportive, professional setting
  • Are organized, detail-oriented, and reliable
  • Communicate kindly and clearly
  • Can stay calm and patient when things are busy
  • Are comfortable learning new systems and tools
  • Value teamwork and respectful communication
  • Want experience that supports future work or graduate studies

Experience & Background

  • At least 1 year of experience in customer service (any setting)
  • Students or graduates in Psychology, Social Work, Counselling, Child & Youth Care, or related programs are welcome
  • Experience in a clinic or healthcare setting is an asset, but not required
  • Experience with Jane App is an asset (training provided)
  • Comfort using Google Drive, Gmail, and online systems is important

What We Offer

  • A supportive, student-friendly workplace
  • Real-world experience in a private mental health clinic
  • Free on-site parking
  • Easy access to the highway and public transit
  • Newly renovated clinic spaces with soft lighting and a welcoming feel
  • A respectful, values-driven team environment
  • Meaningful work that complements your education and career goals
