Position Summary
The Admission and Registration Officer is an in-scope position reporting to the Registrar or designate and is primarily responsible for supporting the admissions, registration, and student records processes for all College programs and services.
Duties and Responsibilities
The Admissions and Registration Officer responsibilities include, but are not limited to:
- Coordinate the intake and processing of student applications, including data entry, verification of documentation, and status updates in the Student Information System (SIS).
- Ensure timely and accurate processing of admissions, registrations, withdrawals, deferrals, and discontinuations in accordance with institutional policies, Brokerage institution admission criteria and Ministry guidelines.
- Provide front-line service to prospective and current students, including responding to inquiries related to admissions criteria, program availability, application procedures, and registration timelines.
- Support the Registrar's Office with the collection and validation of student records, transcripts, and credentials, maintaining confidentiality and compliance with privacy regulations.
- Generate and distribute admission letters, confirmation emails, and registration materials to applicants and program staff.
- Maintain up-to-date student records and assist in compiling statistical reports, enrollment summaries, and other registrar-related documentation.
- Assist with the preparation of information for internal and external stakeholders, including the Ministry of Advanced Education, Ministry of Education, Ministry of Immigration and Career Training, and brokering institutions.
- Collaborate with Student Advisors and Program Coordinators to support student onboarding, scheduling, and class list maintenance.
- Participate in the ongoing improvement of admissions and registration procedures, including support for calendar updates, bulletins, and web content.
- Support graduation audits, convocation preparations, and issuance of certificates and diplomas.
- Travel and promote College programming along with campus engagement team for on spot admission campaigns (e.g. providing information for high schools, career symposiums).
- Assist the registrar with all registrar duties (e.g. maintaining databases, updating student records).
- Assist with alumni and student follow-up processes.
- Conduct ongoing evaluation of admissions processes including calendar submissions, program bulletins, website information, etc.
- Research and maintain relevant resources.
- Perform other responsibilities and duties as may be assigned by the supervisor or designate to contribute to a positive experience in college programs, services, and activities for prospective, current and former students.
Knowledge, Skills, and Abilities
- The ability to maintain strict trust and confidentiality required by maintaining student records.
- Demonstrated skills in developing procedures and the tools required to support those procedures.
- proven time management and organizational skills, demonstrated ability to prioritize and delegate work, manage multiple tasks and ensure issues are dealt with in a timely fashion.
- Demonstrated leadership skills.
- Excellent verbal, written and interpersonal communication skills.
- Awareness of brokering agencies, labour market, programming and agency activities in order to provide accurate and timely information to staff, students and the public.
- Proven ability to work independently and in a team environment.
- Advanced computer skills in word processing, spreadsheet, databases, a variety of student information packages and e-mail.
- Understanding of northern Saskatchewan and ability to work in a cross-cultural environment.
Education and Experience
In addition to the knowledge, skills, and abilities listed previously, the Admissions & Registration officer has:
- A Post-Secondary Diploma relevant to the main responsibilities of the position.
- Minimum of two years' directly related experience working in admissions and/or registrar duties.
- An equivalent combination of relevant experience and education may be considered.
