About the role
The Procurement Officer oversees vendor management, procurement approvals, purchase order processing, delivery tracking, inventory coordination, and procurement documentation. This role works closely with the Finance, Clinical, and Lab teams to maintain a reliable and cost-effective supply chain.
Main Duties & Responsibilities
Procurement & Vendor Management
- Review and approve procurement order forms, ensuring requests align with budgets and organizational guidelines.
- Source new vendors, obtain quotations, and negotiate pricing, terms, and delivery conditions.
- Maintain accurate records of procurement decisions, vendor agreements, and approvals.
- Evaluate vendor performance regularly and recommend alternatives when required.
- Support financial planning and forecasting related to supplies and purchasing trends.
Purchasing & Order Processing
- Process and issue purchase orders for medical, lab, pharmacy, and operational supplies.
- Ensure complete and accurate purchasing documentation, including quotes, approvals, receipts, and packing slips.
- Communicate with internal teams to confirm supply requirements and reorder points.
- Track all orders, follow up on pending or delayed deliveries, and resolve discrepancies.
- Keep procurement files organized and audit-ready.
Inventory & Supply Coordination
- Monitor inventory levels and collaborate with clinical and lab teams to prevent shortages or overstocking.
- Record goods received and ensure consistency between inventory logs and purchase order records.
- Assist in implementing or improving inventory tracking processes or systems.
Finance, Compliance & Reporting
- Work with Finance to reconcile invoices and address any pricing, quantity, or delivery variances.
- Ensure procurement activities comply with internal controls, budget policies, and healthcare standards.
- Prepare procurement summaries, cost analyses, and spending reports as needed.
Process Improvement
- Identify opportunities to streamline procurement and purchasing workflows.
- Recommend improvements to enhance efficiency, accuracy, and cost savings.
Qualifications and Requirements
- Bachelor's degree in Business, Supply Chain, Finance, or a related field preferred.
- 2–4 years of experience in procurement, purchasing, or supply chain; healthcare experience is an asset.
- Strong understanding of procurement cycles, budget adherence, vendor management, and inventory coordination.
- Proficiency in Microsoft Office (Excel, Word) and ERP or inventory systems.
- Excellent communication, negotiation, and organizational skills.
- Ability to manage multiple priorities and work independently in a fast-paced clinical environment.
