Position Summary:
The Unit Clerk responsible for general clinical and administrative support. Duties require sensitivity towards the resident/family experience and accountability to safeguard confidential material.
Liaise closely with the hospice multidisciplinary team and practice in accordance with established policies, procedures and standards ensuring resident and family safety is a priority.
Position Responsibilities Include:
· Provides administration support for admissions, discharges and related information pertaining to Pathways, Netcare, set up of charts, chart audits and safe keeping of resident records, and recopying medication administration records.
· Provides administrative support to employees.
· Ensures documents are properly filed, stored and easy to retrieve.
· Provides front desk and phone coverage when Administrative Assistant/Volunteers are not scheduled.
· Orders office, medical supplies and medical equipment and connects with reps and contracted providers (ie oxygen).
· Ensures clinical schedules are current and accurate within Dayforce.
· Contacts employees to fill shifts as required and manages the on-call schedules.
· As needed, ensures clinical timecards are accurately completed and submitted to Human Resources for payroll processing.
· Assisting Clinical Manager with support where needed (clinical audits, revision of forms, recording census/stats and submitting Palliative Outcome Scale reporting to AHS).
· Assuming other related duties as assigned by the Clinical Manager.

Hours of Work: 0.4 FTE
Minimum Requirements:
- Strong organizational, administrative, and analytical skills.
- Strong interpersonal and conflict management skills.
- Intermediate computer knowledge, including MS office suite
- Grade 12 or equivalent and post-secondary training as a trained Unit Clerk.
- Previous experience as a Unit Clerk is highly recommended (2 years).
- Administrative education and experience are considered an asset.
- Employment is subject to a negative criminal record check/vulnerable sector check.
- Knowledge about, and committed to, the Hospice Mission, Vision and Values.
- Ability to represent the Hospice in an appropriate manner.
- Have knowledge of, and be sensitive to religious, ethnic and cultural diversity.
- Must have good communication skills both verbally and non-verbally and the ability to deal with people in crisis in a mature and non-judgmental manner.
- Must have the ability to maintain a feeling of peace and comfort in the Hospice.
- Ability to recognize the need for self-care in the Hospice workplace.
