As Raimac's Junior Service Coordinator/Dispatcher, you will make an impact on our organization by managing the day-to-day schedules of our team of technicians & providing superior customer service to our clients. You will often be the first line of enquiry for clients who are looking to book jobs, have their queries answered or have problems that need to be solved.

As a Junior Service Coordinator, your day-to-day responsibilities will include:

  • Answering the phone & responding to client emails in a timely fashion
  • Identify customer needs, clarify information, and provide solutions to best help our clients.
  • Entering bookings into a dispatch system in a consistent & detailed fashion
  • Assign technicians to jobs as per skill level, availability, response time, and proximity to the location.
  • Organizing and optimizing technicians' daily schedules each morning..
  • Working closely with the Parts clerk in the Parts and Service dept.
  • Preparing quotes requested by customers and work with Parts clerk and enter when required into a Versaie or Corrigo system or via email.
  • Obtaining detailed information from clients and setting realistic expectations by informing our clients about the abilities or limitations of Raimac's brands and services.
  • Sending job order history and information as required and debriefing technicians where relevant.
  • Checking in hourly with our technicians to see how work progresses on site and have them advise when each job is complete before moving to their next job.
  • Ensure paperwork is filled up properly and handed in on a timely basis.
  • Ensure customers are kept in the loop and if technicians are not able to make it on their expected timeline.
  • Be able to advise the clients on pricing & provide rough estimates.
  • Liaising with intercompany departments/sales to schedule multi-service jobs.
  • Provide office support functions with Raimac's Accounting team to support the offices functioning and technicians in their day-to-day.

Other tasks related to this role include;

  • Conducting customer research/feedback
  • Setting up preventative maintenance scheduling
  • Sending follow-up emails on requests to keep customer in the loop
  • Help with technician workorder pricing and some online invoicing
  • Provide support to other departments if appropriate/as required

On your resume, we will be looking for the following:

  • 1+ years of coordinating or related experience with Dispatching.
  • Demonstrated experience in customer service, client engagement and conflict resolution. Comfortable in call high volume situations.
  • Highly proficient computer skills including comfort with Word, Excel. Online program training will be provided.
