Position Summary
Provide information to service users, responding to general telephone and in-person enquiries on a timely basis, promoting the services and resources of the Help Centre, actively referring appropriate service users to in-house programs, and performing administrative duties. Complete pre-screening of clients to ensure their eligibility for the program and administer Module 1 in the Common Assessment to scheduled and walk-in clients who were not referred by Social Assistance.
In this role, you will:
- Provide all general start-up duties for the office, including opening, disarming alarm, starting resource centre and front desk equipment (e.g. sign-in iPad, computers, photocopier), checking and transferring messages left on telephone system.
- Starting ready to serve clients at 8:30 am sharp, finishing no earlier than 4:30pm: greet, direct and assist service users /others, providing information on the telephone or in-person, forwarding calls, booking appointments for service provision and computer usage, referring clients to appropriate program/s or service, etc.
- Schedule appointments between Employment Specialist and Recruitment Specialist, using the Appointment Manager or computerized systems. Maintain accurate records of all communications with potential clients. Reminder calls to schedule clients/employers and update the Appointment Manager or computerized systems.
- Responsible for scheduling Social Assistance Referral clients and scheduled an appointment with assigned Employment Specialist. Reminder calls/emails to schedule appointments. Updating the Client Intake Tracker with attempts/outcomes daily.
- Responsible for scheduling RASP, TRF and Microsite referrals for an appointment for intake. Reminder calls/emails to schedule appointments. Updating the Client Intake Tracker with attempts/outcomes daily for Data Entry to report in EOIS.
- Conduct initial client pre-screening to verify program eligibility, ensuring the reside in Ontario, are of working age, and are authorized to work in Canada.
- Administer Module 1 in the Common Assessment to scheduled and walk-in clients who were not referred by Social Assistance.
- Assign each completed Module 1 to an Employment Specialist based on their current caseloads.
- Report any concerns to the Team Lead or Program Manager.
Other Duties:
- Responsible for full office closing duties including shutting down computers.
- Maintain confidentiality of service users and agency matters at all times including during and after work hours.
- Advising management of issues regarding smooth running of operations. misuse of equipment, time management issues, etc.
- Call clients to remind of scheduled appointment/workshop one business day prior to appointment, assist employment counsellors in follow-up calls when requested by management
- Ensure that data/reporting is entered/completed within a reasonable timeframe.
- Performs other tasks as assigned by management.
You bring:
- 1-year Post Secondary Diploma.
- 2 to 3 years' experience in an administrative position or equivalent combination of education and experience.
- Experience working in a non-profit is an asset.
- Knowledge of operation of general office equipment and computers.
- Professional business and telephone manners and experience operating a multi-line telephone system.
- Knowledge of employment /community programs/services, and other employment related material, web sites, etc.
- Assist clients in a friendly, helpful and non-judgmental manner.
- Excellent verbal and written communication skills in English.
- Demonstrated problem-solving and multi-tasking skills.
- Proficient in Microsoft Office and comfortable working with excel.
- Well-developed interpersonal, and relationship building skills;
- Demonstrated ability to manage difficult, challenging, or disruptive clients and alleviate or resolve issues.
- Ability to provide a current vulnerable sector check upon being hired.
