Financial Services Assistant, College of Agriculture and Bioresources

Summary:

This position is a member of the Finance team within the College of Agriculture and Bioresources, reporting to the Manager, Financial Services and Analysis, providing effective administration and support of financial resources including day-to-day transactional functions and payroll.  The assistant works in close contact with ConnectionPoint and other University units.  The assistant works independently and can complete all aspects of assigned duties, exercising judgement within established guidelines.  This position requires the ability to work under pressure in a high-volume environment.  It requires attention to detail and a high degree of accuracy.  Decision making is based on established policies and procedures; more complex issues are resolved in consultation with the supervisor.  Confidentiality and sensitivity in dealing with tasks at hand are essential.

The Financial Assistant supports the efficient delivery of financial services within the College of Agriculture and Bioresources, applies functional knowledge, and focuses on developing skills to enhance their contribution to the broader University.

This position is primarily located on-campus. Options for hybrid work arrangements may be considered and must align with the College of Agriculture and Bioresources' and USask's Alternative Workspace Guidelines.

Duties and Responsibilities:  

  • Prepares letters of offer and processes payroll entries for staff and students, ensuring information is entered into the payroll system in compliance with University requirements, including required supporting documents
  • Tracks work and study permits and sends reminders when renewals are required
  • Tracks and sends reminders for term end dates for research personnel and students
  • Provides general financial support services including preparation of invoices, journal vouchers, cash deposits and other duties as required
  • Processes procurement transactions, including P-Card purchases, invoice payments, and purchase order (PO) management
  • Ensures that all communication and interactions with students, faculty, staff and the public are accurate, timely and courteous. Contacts emphasize customer service and the accurate exchange of information
  • Manages sensitive information and materials are in accordance with confidentiality requirements
  • Established methods and practices are adapted to solve problems and difficult or anomalous issues or problems are discussed with the supervisor to determine appropriate solutions
  • All work is completed within established deadlines by ensuring a clear understanding of the required deadlines, effectively setting work priorities and collaborating with others when appropriate
  • Duties are carried out with attention to detail and accuracy
  • Works effectively and cooperatively with others in the finance team, College and University, and consciously applies team skills to support the goals of the work unit
  • All policies, processes and procedures are documented and updated and are followed according to established standards 

Qualifications:

  • Completion of Grade 12 and relevant post-secondary training with a focus on accounting or bookkeeping
  • Three years' accounting or bookkeeping related experience
  • Ability to organize work, time and schedule independently
  • Ability to manage multiple tasks and deadlines, prioritizing effectively while maintaining a high degree of accuracy and attention to detail
  • Proficiency with Microsoft Office including Excel and Word
  • Good working knowledge of the University's Banner Finance and AboutUS systems and university payroll processes would be considered an asset
