The Motor Vehicles & Registries Administration branch under The Consumer, Registry and Strategic Services division, provides a broad range of support and expertise to Registry Agents in Alberta on all registry topics (Motor Vehicles, Vital Statistics, Corporate Registries, Personal Property, Land Titles, Alberta Health Care, and Alberta Organ & Tissue Donor).
The Motor Vehicles unit is an integral role in the effective and efficient administration of the motor vehicles program in Alberta, providing expertise, information and consultation related to motor vehicles legislation along with business policies and procedures to registry agents and various stakeholders.
Role ResponsibilitiesAs a Registry Information Specialist, you will be part of a unit that supports prosecutors, law enforcement, legal professionals, government departments, and the public by enabling the responsible release of Motor Vehicles, Corporate Registry, Personal Property Registry, and Vital Statistics information. Your work strengthens public trust, supports court processes, and helps maintain the integrity of Alberta's information systems.
Reporting to the Team Lead, Data Access & Contract Management Unit (DACMU), you will ensure timely, accurate, and compliant information services across multiple registries. This role provides specialized expertise in records access, legislative application, court documentation, and contract oversight—directly supporting operational excellence and the secure use of government-held information.
Key Responsibilities will include:
- Gathering, interpreting, and summarizing motor vehicle data to produce manual and automated Court Certificates.
- Conducting historical data reviews and validating certificate accuracy for court proceedings.
- Serving as a Deputy Registrar under delegated authorities within the Traffic Safety Act.
- Applying legislation and policy to process applications, approvals, renewals, and suspensions.
- Updating databases to reflect contract status and coordinating with Registries and Finance to ensure proper release protocols and invoicing.
- Monitoring agreement holder activity, identifying anomalies, and scheduling audits or corrective actions.
- Responding to inquiries from public bodies, law enforcement, legal counsel, and the public.
- Explaining legislation, regulations, system processes, and policy requirements.
- Providing program expertise and resolving issues with professionalism and clarity.
- Creating, tracking, and maintaining physical and electronic files from initiation to archival.
- Supporting box management and security measures, including controlled access to sensitive records.
- Assisting colleagues with confirmation letters, pre-court searches, and information release channels.
- Reviewing agreement holder information for accuracy and compliance.
- Identifying system issues, recommending improvements, and maintaining performance metrics.

University degree (Public Administration, Business, Criminal Justice, etc.) Candidates with experience working in Motor Vehicles System (MOVES), CORES, VISTAS, APRES and/or the related registry interfaces will be preferred.
Equivalencies may be considered:
Diploma and a minimum of two (2) year's related experience, Certificate and a minimum of three (3) year's related experience and a minimum of four (4) year's experience.
Required:

- Proficiency in Microsoft Office 365.
Assets:
- Working knowledge of MOVES, CORES, VISTAS, APRES, and related registry interfaces.
- Understanding of Protection and Privacy Act (POPA), Traffic Safety Act (TSA), Access to Motor Vehicle Information Regulation (AMVIR), Operator Licensing and Vehicle Control Regulations (OLVCR) and other applicable legislation.
- Experience supporting court documentation processes.
- Experience with compliance monitoring.
- Experience with records management.
- Experience working with stakeholders such as public bodies, law enforcement, or legal professionals and Registries.
Candidates with lesser qualifications may be considered at a lower classification and salary.
