Job Description
The Project Manager, FF&E will be an integral part of the FF&E team and will act as a hospital's representative working with a multi-disciplinary team of hospital staff, professional consultants, contractors, subcontractors and authorities having jurisdiction, to guide the planning, design, implementation, contract administration and close out of multiple equipment projects, across the hospital sites, including the new Cortellucci Vaughan Hospital (CVH).
The incumbent will work closely with hospital users to plan and design the physical space requirements to support process redesign objectives and hospital policies and procedures, with a focus on building systems design for medical equipment, specifically, architectural, mechanical, electrical, structural and ICAT requirements. The incumbent will ensure that plans are developed in accordance with best practice, adhering to applicable codes, standards and relevant regulatory guidelines.
The incumbent will also be responsible for implementing strategies to effectively manage the user group planning and securing input for multiple inter-disciplinary groups committees and task forces; preparation of procurement documents to support procurement of FF&E, tender review and analysis; reviewing and coordinating technical drawings and design briefs; confirmation and verification of project's technical scope requirements, specifically as it relates the development of project budgets and schedules. Responsible for review and approval of all equipment contracts. The incumbent will maintain an accurate and efficient monitoring system related to FF&E projects, including drawings, correspondence, approvals, budget and schedules, commissioning and progress notes.
Contribute to safe, quality care by
- Responsible for the planning, procurement and implementation and contract administration of all FF&E, specifically as they relate to architectural, mechanical, electrical, structural and ICAT building requirements and coordination and support of FF&E.
- Coordinates, implements and manages multiple complex FF&E projects to support the Redevelopment Project Office across multiple sites.
- Manages and attends meetings relating to Master Programming and functional programming in order to develop FF&E budgets.
- Oversees and manages projects of various size and complexity, including contract administration and project close out.
- Works with stakeholders to address Change Requests, proposes alternative solutions.
- Resolves planning, design, construction, and contractual issues as it relates to assigned projects.
- Develops RFP documents for FF&E procurement.
- Prepares and maintains project budgets and schedules.
- Key point of contact for assigned projects.
- Supports as required Capital Planning & Redevelopment team with other projects as required.
- Ensures projects are designed and built to code and other standards.
- Develop, monitor, control and report on project's component budgets and schedules.
- Ensures timely identification of issues and communication of project status to users and stakeholders, including but not limited to information concerning schedule, risk management, and other issues affecting to project, and facilitates timely decisions related to above.
- Works closely with internal and external stakeholders to ensure needs are addressed and issues are resolved to meet project objectives.
- Prepares reports for Mackenzie Health and/or Ministry of Health, Infrastructure Ontario, or other; reports could include schedule, budget variance and/or forecast.
- Coordinates plans with Authorities Having Jurisdiction.
What must you have?
- An undergraduate degree in architecture, engineering, interior design or an equivalent combination of education and experience will be considered.
- Minimum 7 years project management, FF&E procurement, installation, and commissioning experience in a health care environment.
- Proficient computer literacy required. (MS Office, PowerPoint, CAD, Microsoft Project 2000, Excel spreadsheet applications and other project management programs).
- Possess well developed leadership, interpersonal, organizational, and communication skills with a strong ability to investigate, analyze and problem solve, plan and recommend solutions.
- Demonstrates proven success in gaining credibility and building trust with senior decision makers.
- Proven track record on similar projects, and a strong awareness of the complexities associated with the ongoing hospital programs, services and systems.
- Experience with various forms of construction complex contracts and contract management practices and procedures.
- Sound knowledge of IPAC protocols to be followed during construction and solid understanding of IPAC principles to be considered during design development.
- Familiar with Hazardous material abatement considered an asset.
- Proven ability to produce high quality reports and meet deadlines.
- Strong analytical, problem solving and critical thinking skills with an ability to understand, analyze and report on complex information in a timely manner.
- Demonstrate experience with hospital operations, facility and equipment commissioning and orientation.
- Solid knowledge of capital budget, facility designs and construction processes and familiarity with health care delivery systems.
