Position Summary:
Silent Rides is a premier provider of chartered bus transportation services, dedicated to delivering safe, comfortable, and reliable travel experiences for various events and occasions. With a modern fleet of meticulously maintained buses and a dedicated team of professionals, we take pride in offering exceptional customer journeys.
The Operations Manager plays a key leadership role in the day-to-day operations of Silent Rides. This position is responsible for ensuring the safe, efficient, and compliant operation of the company's motor coach fleet. The primary focus will be on fleet upkeep, permitting, logbook compliance, and overall operational effectiveness. The Operations Manager will work closely with drivers, maintenance, and dispatch to ensure that every trip meets company standards for safety, reliability, and customer service.
Key Responsibilities:
Fleet Management & Maintenance
- Oversee the day-to-day performance and condition of the Silent Rides fleet.
- Schedule and coordinate preventative maintenance and repairs to minimize downtime.
- Maintain accurate maintenance and inspection records in accordance with regulatory requirements.
- Monitor vehicle condition, mileage, and performance to anticipate service needs.
- Work with maintenance staff and vendors to ensure quality and cost-effective repairs.
- Conduct regular yard and equipment inspections to ensure readiness and cleanliness.
Compliance & Permitting
- Manage all fleet permitting, licensing, and registration renewals.
- Ensure full compliance with all federal, provincial, and local transportation regulations.
- Oversee driver logbook reviews, ensuring compliance with Hours of Service (HOS) and ELD regulations.
- Maintain all operational and safety documentation, including vehicle files, driver files, driver abstracts, and insurance certifications.
- Support audit preparation and respond to regulatory inquiries as needed.
Operational Oversight
- Support daily dispatch and trip operations to ensure smooth execution of all charters.
- Coordinate with drivers to confirm trip details, vehicle readiness, and compliance prior to departure.
- Assist with scheduling, coverage, and communication during peak operating times.
- Develop and implement standard operating procedures (SOPs) to improve consistency and accountability.
- Respond to service issues, breakdowns, or incidents in a professional and timely manner.
Leadership & Continuous Improvement
- Provide leadership and direction to operational and driving staff.
- Promote a strong safety culture and adherence to company policies.
- Identify opportunities to improve operational efficiency and reduce costs.
- Communicate effectively with the VP of Operations regarding performance, issues, and recommendations.
- Prepare regular reports on fleet condition, compliance status, and operational metrics.
- Other duties as assigned.
Qualifications:
- Minimum 3–5 years of experience in operations or fleet management, preferably in motor coach or transportation.
- Strong understanding of transportation compliance, permitting, and safety regulations.
- Proven organizational skills and ability to manage multiple priorities in a fast-paced environment.
- Proficient with Microsoft Office and fleet/log auditing systems.
- Proficient with Motive (ELD) and Coach Manager preferred
- Excellent communication, leadership, and problem-solving skills.
- Valid Class 2 (or equivalent) driver's license with air brake endorsement preferred.
Work Conditions:
- Combination of office and yard-based work environments.
- On-call availability required for weekends or operational emergencies.
- Must be comfortable working in a dynamic environment with frequent interaction between drivers, maintenance, and dispatch.
