Position Overview
We are seeking a highly organized and customer-focused Dispatch Coordinator to coordinate charter dispatch activities. Reporting to the Branch Manager, Coach Division, this role is central to ensuring smooth coordination between clients, drivers, and fleet resources for charter trips. The successful candidate will thrive in a fast-paced environment, demonstrate strong problem-solving skills, and maintain excellent communication with clients and drivers.
Key Responsibilities
- Coordinate and dispatch charter trips, ensuring timely and accurate scheduling.
- Communicate with clients to confirm trip details, provide quotes, and issue contracts.
- Collaborate with drivers to ensure they have all necessary trip information, including logs and route details.
- Monitor fleet readiness, including cleanliness, maintenance scheduling, and vehicle availability.
- Process invoices, receive payments, and prepare driver wage submissions for payroll.
- On occasion, provide weekend on-call support for charter-related inquiries.
- Maintain accurate records and documentation related to dispatch and trip coordination.
- Follow up with clients post-trip to ensure satisfaction and gather feedback.
- Perform other related duties as assigned.
Qualifications & Skills
- High school diploma required; post-secondary education is an asset.
- Minimum 2 years of dispatching and/or administrative experience is an asset.
- Experience in accounts receivable and/or payroll is an asset.
- Fully bilingual in English and French (written and verbal).
- Proficient in Microsoft Office 365 (Word, Outlook); experience with dispatching software is an asset.
- Strong organizational and time management skills.
- Ability to work independently and collaboratively in a team environment.
- Calm and professional approach to problem-solving and unexpected challenges.
- Excellent interpersonal and communication skills.

Pay: $48,000.00-$52,000.00 per year
