How You'll Help Us Better Service Our Clients
We are seeking a HR Program Coordinator. This is a full-time, on site position—ideal for individuals who are eager for growth, committed to excellence, and looking to build their career in a collaborative environment.
What You'll Be Doing
The HR Program Coordinator provides coordination and administrative support across key HR programs, including student and associate initiatives, professional development activities, and firm-wide HR processes. The role ensures smooth program delivery, clear communication, and provides administrative support to multiple stakeholders.
Working closely with the Head of HR, the Manager, Associate & Student Programs, and the Manager, Legal Support Services, this position plays an important role in maintaining consistency in HR processes, supporting people-related initiatives, and contributing to the overall employee and associate experience.
Responsibilities include but are not limited to:
Program Coordination & Administration
- Coordinate logistics and communication for student and associate recruitment, onboarding, orientation, and development programs.
- Support the Manager, Associate & Student Programs with scheduling, evaluations, mentoring initiatives, and CPD-related activities.
- Maintain accurate program calendars, timelines, and documentation.
- Track participant engagement, evaluation deadlines, and key metrics for reporting purposes.
- Demonstrates exceptional organizational and deadline-management skills, ensuring accurate and timely submission of all regulatory documents for multiple student cohorts throughout their articling periods
- Brings strong event-planning capability and the flexibility to work overtime during peak recruitment and student programming periods.
- Maintains a proactive approach to membership administration, accurately updating and managing firm rosters for associations such as CBA, BCLMA, and NALP.
Professional Development & HR Support
- Assist with CPD tracking and reporting requirements for associates.
- Support the Head of HR with the administration of the annual associate review and compensation processes.
- Assist with HR-related communications, engagement initiatives, and training sessions.
- Provide administrative support across HR projects and initiatives as required.
Collaboration & Communication
- Serve as a point of contact for program-related inquiries from students, associates, and internal stakeholders.
- Foster strong working relationships across the HR function, Legal Support Services, and practice groups to ensure effective coordination.
- Support the development of consistent HR materials, templates, and documentation.
How You'll Be a Great Fit for This Role
- Post-secondary education in HR, business administration, or a related field (or equivalent experience).
- 2–4 years of experience in HR coordination, student or professional development support, or administrative roles in a professional environment.
- Strong organizational and project-management skills with excellent attention to detail.
- Clear, professional written and verbal communication.
- Proficiency in Microsoft Office; familiarity with HRIS tools an asset.
- Ability to handle confidential information with discretion and professionalism.
