Fountainhead Mechanical is growing — and we're looking for a powerhouse Estimations Coordinator to join our team.

We deliver high-quality mechanical services across Calgary, and we need someone who can support our Estimating and Project teamwith accuracy, confidence, and exceptional communication.

What You'll Do

As our Estimations Coordinator, you'll be the link that keeps office, field, and client communication smooth, timely, and organized. Each day, you'll:

  • Review approved jobs, prepare documentation, and get projects ready for scheduling
  • Order materials, equipment, and specialty parts from trusted suppliers
  • Coordinate manpower to ensure the right technicians land on the right jobs
  • Work closely with estimators to confirm scope, timelines, and resources
  • Track parts, timelines, lead times, and job progress
  • Maintain clean, consistent communication with all stakeholders
  • Troubleshoot issues with a calm, practical approach
  • Prepare and send professional customer updates
  • Manage email, documentation, and workflow using Outlook, Microsoft 365, and our custom scheduling software

  • HVAC or plumbing knowledge is a bonus, but not required
