Role Description

We seek an 
Event Operations & Vendor Coordinator
 experienced in multi-stakeholder coordination, logistics, and vendor management for tech-driven event environments. You will be instrumental in onboarding, supporting, and optimizing the experience of event organizers and their suppliers using our SaaS platform.

Qualifications

  • Client Onboarding: Guide conference and event organizers through Saaga's platform, ensuring quick activation and high satisfaction.
  • Vendor Coordination: Manage end-to-end communication and contracts with event suppliers (AV, catering, venues), using integrated tools to track deliverables and payments.
  • Logistics Management: Support organizers in project scheduling, master timeline management, and task delegation—ensuring nothing falls through the cracks.
  • Workflow Optimization: Help clients adapt their legacy spreadsheets/emails to unified dashboards, improving efficiency and collaboration.
  • Product Feedback: Act as the bridge between users and our tech team, reporting feature requests and usability issues to drive platform enhancement.
  • Budget Tracking: Assist users with real-time spending tools and alert systems to help them stay within budget.
  • Training & Support: Deliver product demos, onboarding webinars, and resource guides for new accounts.

Required Experience:

  • 5+ years in event coordination, vendor management, or project logistics (not necessarily titled "event planner")
  • Familiarity with event technology platforms (e.g., Cvent/Bizzabo, Whova, Google Workspace, project management tools like AirTable, , Asana, or Notion/Motion)
  • Proven skills in vendor negotiations, contract management, and deadline tracking
  • Experience organizing business or community events, managing budgets, and supporting multiple stakeholders
  • Excellent communicator, comfortable working with Medium to Large Corporate Enterprises, Event Agencies, and third-party contractors.

Preferred:

  • SaaS or tech startup experience
  • Data-driven mindset, comfortable working with dashboards/spreadsheets
  • Experience in the event tech industry or large-scale team coordination in the North American region
