Job Purpose

Reporting to the Manager, IT Project Assurance, the IT Project Management Coordinator will assist the with administering the project intake process, including the execution of projects within Information Technology Services. This position will be responsible for helping to organize incoming initiatives, as well as coordinating the work required throughout the project life cycle.

Job Responsibilities
  • Maintains PMO's centralized project data across the entire project portfolio.
  • Consolidate project status updates, milestones, and key metrics to ensure consistent reporting and portfolio visibility.
  • Maintain and enhance project management templates, tools, and training materials to support project delivery standards.
  • Plan and coordinate PMO training sessions and onboarding for new project managers.
  • Identify upcoming project assignments based on the IT project delivery plan, and report possible conflicts to the Manager, IT Project Assurance.
  • Forecast challenges through conducting a comprehensive review of the IT project portfolio.
  • Assist project managers in preparing documentation for procurement, contracting, and legal processes.
  • Record meeting notes for department updates and management.
  • Work with project managers to ensure projects are organized and running smoothly, and assisting with keeping information current and accurate.
  • Regularly update and consolidate the overall project resource plan, identifying resource gaps and allocation trends.
  • Enter resource requirements into the portfolio management tool.
  • Apply project management methodology and standards.
  • Participate in and/or present new ideas for process improvement aimed at increasing PMO efficiency and project delivery effectiveness to the Manager, IT Project Assurance.
  • Work with PMO leadership and IT Project Managers to ensure stakeholders' information needs and requirements are planned, managed, and controlled.
  • Use effective project risk management methods to increase the likelihood and impact of positive events and decrease the likelihood and impact of negative events on the project.
  • Participate in committees and project teams/programs as required.
  • Complete required courses and training.
  • Attend and facilitate meetings as required.
  • Support and comply with policies, practices, procedures and Corporate Social Responsibility commitments.
  • Perform other related duties as assigned.
Primary Qualifications
  • A diploma or degree in Computer Science, Information Technology, Business Administration, or an equivalent combination of education and experience.
  • Enrollment in, or completion of, a recognized project management certificate or diploma program.
  • A minimum of one year experience working in a project management environment.
  • Experience and proficiency in Microsoft 365 (Word, Excel, PowerPoint, Teams and Outlook).
  • Strong communication and interpersonal skills.
  • Knowledge and application of Project Management Body of Knowledge (PMBOK).
  • Ability to work independently or in a team environment.
  • Organized and a self-starter, with the ability to complete tasks with minimal supervision.

Leadership competencies include building strategic performance, coaching and developing, influencing and leading. These competencies are deemed important for the success of the position and organization.
  • Satisfactory work performance in the preceding twelve (12) months is a requirement. Attendance rate will be a factor in the pre-screening process.
Secondary Qualifications
  • Knowledge of the gaming, retail, and/or distribution industries are considered assets.
  • Knowledge of Microsoft Project is considered an asset.

Vacation
