Must haves:

  • Strong Project Management Expertise – Proven experience in Agile project management, including goal setting, risk and issue management, scope definition, partner engagement, planning, and quality assurance.
  • Vendor & Consultancy Management – 7 to 10 years of progressive project management experience, with a demonstrated ability to manage external vendors and consultancy engagements, ensuring alignment with strategic goals and contract compliance.
  • Excellent Communication, Presentation & Stakeholder Engagement – Exceptional verbal and written communication skills, with the ability to build trust and foster strong relationships across internal teams, external partners, and senior leadership. Skilled in developing and delivering clear, compelling presentations using tools such as Microsoft PowerPoint to communicate project status, strategy, and recommendations.

  • Collaboration & Coordination – Skilled in aligning cross-functional teams, coordinating complex tasks, and driving team effectiveness. Able to resolve conflicts and facilitate consensus in dynamic environments.
  • Strategic Thinking & Business Acumen – Ability to connect project outcomes to broader organizational strategy and long-term goals. Comfortable translating business needs into actionable plans and measurable results.
  • Change Leadership – Experience leading change initiatives in complex or regulated environments, with a strong understanding of change management principles and stakeholder readiness.

Responsibilities:

  • Manage consultancy engagement, ensuring deliverables align with project objectives, timelines, and strategic goals.
  • Facilitate communication between internal teams and the consultancy, providing clear expectations, priorities, and timely feedback.
  • Track consultancy performance, monitoring milestones, outputs, contract adherence, and budget compliance.
  • Review and validate consultancy recommendations, ensuring alignment with organizational needs and facilitating effective knowledge transfer to internal teams.
  • Lead project execution, ensuring on-time, in-scope, and within-budget delivery while maintaining efficiency and adherence to Agile methodologies.
  • Engage and collaborate with stakeholders, managing expectations, fostering strong relationships, and ensuring alignment across departments.
  • Gather and refine project requirements, translating them into structured schedules, integrated plans, and actionable deliverables.
  • Identify and mitigate risks and dependencies, proactively resolving conflicts and escalating issues when necessary to maintain project momentum.
  • Monitor project progress, providing decision-makers with prioritized risks, mitigation strategies, and solution options.
  • Prepare and maintain project status reports, tracking milestones, deliverables, risks, and decisions, and tailoring updates for various audiences including leadership.
  • Manage project documentation in MS Teams and other collaboration platforms, ensuring organization, accessibility, and version control.

Requirements

Required Skills

  • Professional Certifications – Project Management Professional (PMP) certification, with knowledge and understanding of the Project Management Institute's (PMI) Project Management Body of Knowledge (PMBOK).
  • Agile Project Management – Proven experience applying Agile project management concepts and methodologies in complex environments.
  • Project Management Software Proficiency – Demonstrated proficiency in tools such as MS Project, MS Teams, and other relevant platforms.
  • Educational Background – Undergraduate degree from a recognized institution in Health, Computer Science, Engineering, Business, or a related discipline, or equivalent experience.
  • Health System Implementation Experience – Experience with business implementation and deployment projects within the health system.
  • Customer and Stakeholder Engagement – Experience liaising with customers and stakeholders in service-oriented roles, including responding to inquiries, resolving issues, and managing risks.
  • Relationship-Building and Influence – Strong relationship-building, facilitation, and influencing skills to successfully partner with internal and external stakeholders.
  • Issue Identification and Mitigation – Ability to readily identify, assess, and mitigate project-related issues and risks.
  • Change Management and Process Improvement – Experience and/or knowledge of change management, workflow analysis and redesign, business process integration, and evaluation/quality improvement, preferably in the health sector.
  • Presentation & Reporting Skills – Demonstrated ability to prepare and deliver executive-level presentations and reports using tools such as Microsoft PowerPoint and Excel. Skilled in visualizing complex information clearly and effectively for diverse audiences, including senior leadership and cross-functional teams.
  • Digital Literacy & Collaboration Tools – Proficiency in project and collaboration platforms such as MS Project, MS Teams, Jira, Confluence, SharePoint, and Smartsheet. Comfortable navigating digital workspaces to manage tasks, share documentation, and facilitate team coordination in Agile and hybrid environments.
  • Political Acumen – Experience operating in highly political environments and across diverse organizational cultures.
  • Privacy and Legislative Knowledge – Working knowledge of privacy policies and legislative frameworks, including the Health Protection and Promotion Act (HPPA), Freedom of Information and Protection of Privacy Act (FIPPA), and Personal Health Information Protection Act (PHIPA), as well as associated Health Information Custodian (HIC) requirements (considered an asset).

Deliverables

Deliverables include, but are not limited to:

  • Project Roadmap & Work Plan – Develop and maintain a structured project plan outlining timelines, milestones, deliverables, dependencies, and critical paths. Ensure alignment with strategic objectives and stakeholder expectations.
  • Vendor/Consultancy Oversight & Deliverable Tracking – Manage the engagement with the selected consultancy, ensuring alignment with project goals, tracking key deliverables, and monitoring performance against contractual obligations.
  • Stakeholder Coordination & Engagement Plan – Facilitate collaboration between internal teams, product owners, and external stakeholders. Develop and execute a stakeholder engagement plan to ensure consistent communication, feedback loops, and alignment.
  • Risk & Issue Management Report – Identify and assess project risks, challenges, and roadblocks. Develop mitigation strategies and contingency plans, and provide regular updates to leadership and governance bodies.
  • Progress Reports & Status Updates – Prepare and deliver regular documentation and presentations on project progress, key findings, decisions, and next steps. Tailor reporting for different audiences, including executives and operational teams.
  • Budget & Resource Management Tracking – Monitor and report on project budget, resource allocation, and utilization. Ensure financial accountability and recommend adjustments as needed to stay within scope and budget.
  • Knowledge Transfer & Sustainability Planning – Support the transition of consultancy outputs into internal practices. Ensure documentation, training, and knowledge transfer activities are in place to sustain the VoC program post-engagement.
  • Project Closure & Evaluation – Lead project close-out activities, including final reporting, lessons learned, and evaluation of outcomes against initial objectives.
