About the Role

We are seeking a dedicated and detail-oriented Assistant Property Manager to support residential property operations in Hamilton, Ontario. Reporting to the Property Manager, this role plays a key part in the day-to-day management of residential communities, supporting leasing, maintenance coordination, financial administration, and resident relations.

The Assistant Property Manager contributes to operational efficiency, resident satisfaction, and overall property performance while maintaining a professional and service-oriented approach.

Key Responsibilities:

Leasing & Marketing

  • Support and participate in the full leasing lifecycle, including showings, applications, and move-ins
  • Maintain up-to-date knowledge of suite availability, amenities, and common areas
  • Assist with lease renewals and resident retention initiatives
  • Contribute to marketing and leasing strategies aligned with operational goals and budgets
  • Conduct market research and competitor analysis to support pricing and positioning decisions
  • Provide insights and recommendations related to rental rates, incentives, and market conditions

Operations & Administration

  • Ensure property operations align with company policies and procedures
  • Prepare and issue required notices, including notices of entry, tenancy-related notices, and renewal communications
  • Maintain compliance with privacy standards and regulatory requirements
  • Review monthly financial reports and assist with variance analysis using property management software
  • Support purchasing, invoice processing, and vendor coordination
  • Assist with rent collection and monitoring of outstanding balances
  • Provide guidance and oversight to site staff, including maintenance personnel
  • Participate in renovation and capital improvement initiatives as required

Resident Relations & Customer Service

  • Respond to resident inquiries, concerns, and requests in a professional and timely manner
  • Maintain positive resident relationships through proactive communication and follow-up
  • Promote a high standard of customer service across the property team

Maintenance & Health & Safety

  • Monitor suite and common area conditions and initiate work orders as required
  • Conduct routine, annual, and move-out inspections
  • Assist with ensuring suite readiness and turnover coordination
  • Support compliance with fire safety plans and emergency procedures
  • Participate in after-hours emergency response on a rotational basis, as required

Qualifications

  • 2–4 years of experience in property management, hospitality, or a related field
  • Post-secondary education in property management or a related discipline is considered an asset
  • Strong written and verbal communication skills
  • Customer-focused with strong interpersonal and conflict-resolution abilities
  • Highly organized, detail-oriented, and able to manage multiple priorities
  • Team-oriented with a positive, flexible attitude
  • Working knowledge of the Residential Tenancies Act (RTA), fire and building codes, and Landlord and Tenant Board (LTB) processes is an asset
  • Ability to respond to time-sensitive matters outside of regular business hours
  • Valid driver's license and access to a reliable vehicle

Work Environment

This is a full-time (40 hours per week) position, generally operating during standard business hours, with occasional requirements outside of these hours. The role is primarily based in Hamilton, with some local travel. Compensation includes a competitive salary, comprehensive benefits, and a vehicle allowance, based on experience and qualifications.
