POSITION OVERVIEW

Forbes Bros Ltd. is seeking an experienced and highly motivated Document Control Manager (full-time, permanent). This role will require some travel to project sites. The Document Control Manager will be directly responsible for all company document control related activities to include development, implementation, and administration of a document control program; support the Quality Control Manager, Engineering Manager and the Project Operations teams to ensure that document control activities, personnel, and documentation on projects meet client, industry, and corporate requirements.

KEY RESPONSIBILITIES:

  • Emulates Forbes Bros core value of 'WE WORK SAFE' in all daily tasks
  • Develop and implement a corporate document control program that is in line with corporate, industry and client requirements
  • Liaise closely with the IT department and other critical internal stake holders to select and implement a document control software platform that is suitable to corporate needs and will ensure positive document control
  • Develop and deliver a training program for staff around the use of document control
  • Maintain and ensure all required records regarding the corporate document control program are kept up to date
  • Develop and maintain standards for document controllers performing work for Forbes Bros
  • Work closely with Project Directors and Managers to ensure that the corporate document control program satisfies the needs of our clients
  • Ensure ongoing compliance with local, national, and international standards and legislation
  • Develop and lead document control improvement initiatives for all company groups and services
  • Responsible to hire, supervise and train a team of document controllers
  • Ensure project team members follow company policies and procedures through audits to ensure document control program compliance
  • Facilitate regular meetings to review progress, milestones, objectives, etc. for projects and corporate initiatives related to document control
  • Support the Quality Control Manager in the development and implementation of the Project Quality Plan, Inspection Test Plan and Quality documents/forms based on project requirements
  • Participate in responses to RFP and tenders with respect to document control requirements
  • Support with the investigation and resolution of quality issues – Root cause analysis, disposition, follow-up and close out
  • Support with project closeouts and lesson learned at the end of the projects
  • Other tasks and functions as assigned

WHAT WE ARE LOOKING FOR:

  • Diploma or bachelor's degree in a related field
  • A minimum of five (5) + years of experience in Document Management in a construction setting, preferably within a utilities or civil construction company, is required
  • Proven background as a Document Control Manager in large scope projects, is required
  • Strong listening, problem solving and time management skills with the ability to meet various deadlines
  • Strong verbal and written skills with the ability to communicate in a professional manner
  • Ability to work with independently or within a team environment with minimal supervision
