Under the general direction of the Manager, Retail Services and Logistics, the Supervisor, Central Stores and Logistics oversees and coordinates the efficient day-to-day operations of the Central Stores. The Supervisor coordinates and expedites order deliveries and return shipments; organizes, maintains, and optimizes receiving and storage areas; and supports related services by managing inventories, coordinating mail sorting and processing, and preparing month-end reports for inventory, vehicle use, and postage.

This position oversees and controls the safe receipt, management, and distribution of hazardous and dangerous goods in compliance with Dangerous Goods Regulations. The Supervisor initiates, authorizes, and monitors purchase requests for products and supplies, ensuring cost-effective procurement aligned with operational requirements.

The Supervisor provides training, guidance, and support to both regular and non-regular Central Stores staff, setting priorities, delegating daily tasks, and fostering a collaborative, high-performing workplace grounded in accountability and operational excellence.

In addition, the Supervisor plans and aligns Central Stores operations to make the most effective use of resources, meet departmental objectives, and deliver excellent customer service. The role also manages warehouse inventory and asset management processes to ensure accuracy, control, and timely reporting, and promotes asset protection through proactive inventory management, loss prevention, and adherence to internal policies and procedures.

Functions and Duties

  1. Responsible for ensuring purchasing records are entered on the Banner system. Ensures systems are updated for the receiving of Central Stores shipments. Arrange dispersals after verifying delivery to ensure correct, undamaged, and complete goods received by:

  2. Ensuring shipments correspond to packing slips;

  3. Matching packing slips against invoices/purchase orders;
  4. Entering packing slip or invoice information on the Banner computer system as required;
  5. Reviewing and completing packing slips, and coordinating the sorting and delivery of items to other departments or destination
  6. Maintaining log and verifying accuracy of collect shipments
  7. Organize and establish shipment pick-up, preparing shipments for return;
  8. Generating chargeback forms/packing slips;
  9. Completing and submitting freight/customs broker forms;
  10. Monitor and safeguard paper inventory, ensuring comprehensive accountability and traceability of all documents and supplies.

  11. Supervises all regular and non-regular central stores staff:

  12. Prioritizes and assigns work on a daily basis;

  13. Oversees scheduling of regular and non-regular staff to meet operational demands.
  14. Addresses and resolves day-to-day work problems;
  15. Assists the Manager with performance appraisals, implementing performance management strategies, and mitigating workplace conflicts.
  16. Supports recruitment efforts and directs the onboarding and training of regular and non-regular employees.
  17. Assess training needs of support staff, develops and implements targeted training programs to ensure employees meet job requirements.
  18. Oversees staff adherence to asset protection procedures and ensures secure handling of college materials, equipment, and supplies.
  19. Coach and develop staff to achieve high performance, encourage professional growth, and maintain strong team engagement
  20. Implement innovative approaches to workflow management and staff development, aligned with departmental and College objectives

  21. Assists in expediting purchase orders for all back-ordered items and return shipments by:

  22. Contacting suppliers to inquire and resolve issues related to damage, delivery of outstanding items/orders or receipt of credit;

  23. Answering departmental queries concerning status of orders;
  24. Advising end-users of anticipated delivery times for back-ordered items.

  25. Receives and manages hazardous and dangerous goods for distribution to various departments. Processes necessary paperwork (Transportation of Dangerous Goods) to safely ship hazardous and dangerous goods to other campuses or off-site locations as required by law.

  26. Prepares special shipments such as hazardous materials according to Dangerous Goods Regulations, including placarding and preparing waybills.

  27. Resolves discrepancies (damages, shortages, other shipping errors) and processes claims with suppliers or carriers in conjunction with Procurement. Identifies and returns damaged goods to suppliers and completes the appropriate documentation.

  28. Inspects and prepares materials for shipment; determines most efficient method of transportation; completes the appropriate shipping documentation.

  29. Oversees the efficient delivery of materials; equipment and supplies to the appropriate destinations within the region; completes corresponding dispersal slips.

  30. Responsible for maintaining Central Stores; including regular physical counts of equipment and materials; updating corresponding records and databases to produce reports as requested.

10.Managing and controlling paper inventory levels, monitoring usage trends, placing orders and implementing strategies to reduce waste and ensure cost-effective utilization.

  1. Assists Procurement in maintaining a capital assets inventory; including conducting inventory counts of capital equipment and entering information into the appropriate database to track and produce reports. Performs maintenance for tagging of equipment and supplies.

  2. Assists Procurement with disposal of equipment and supplies classified as surplus including arranging for pick up when goods are sold.

  3. Sorts and delivers incoming mail; operates the postage machine and arranges dispersal of outgoing mail; schedules and arranges regular maintenance and repairs for postage machine.

  4. Ensures compliance with College policies for vehicle bookings; conducts weekly inspections of fleet vehicles; coordinates servicing and repairs; and maintains databases to track chargebacks and generate required monthly reports.

  5. Recommends, develops, and implements improvements in processes as needs change. Responsible for maintaining and updating Central Stores procedure manuals, as well as revising local and regional delivery and mail schedules as needed. Recommends, develops, and implements process improvements in response to evolving operational needs.

  6. Maintains organized filing systems for documents, including bar-coded packing slips, waybills, inventory records, and delivery slips. Oversees inventory management and prepares month-end statistics and reports as required.

  7. Ensure Central Stores area is swept and kept tidy. Responsible for sorting and placing goods in appropriate locations.

  8. Develops and maintains effective working relationships with a wide range of internal and external stakeholders, including Faculty, Vocational Instructors, and administrative departments.

  9. Performs other related duties as assigned to support overall store operations and the Ancillary & Business Services portfolio and may be assigned special projects

  10. Provides excellent customer service for internal and external customers.

Education and Experience

  • Completion of a post-secondary diploma in Business Administration, Supply Chain Management, Distribution and Inventory Management; Logistics, or Operations Planning.
  • Minimum of four (4) years of recent and relevant experience in supply chain and logistics or warehouse management.
  • Demonstrated proficiency in Microsoft 365, Banner, Bookware receiving or other asset management and shipping/receiving technology.
  • Minimum of three (3) years experience supervising staff is required, preferably in a union environment.
  • Must hold a valid BC Class 5 driver's license. Must be able to certify and use a Lift truck. Must be able to operate a 1-ton Cube/delivery vehicle.
