POSITION SUMMARY

We are seeking a highly organized and customer-focused Parts Specialist to join our Parts Department at 1200 Degrees Ontario. Reporting to the Parts Manager, this role is responsible for supporting our customers, technicians, and internal departments with accurate parts identification, efficient order processing, and exceptional service.

This is a fast-paced and hands-on position that supports our growing dealership, including fire truck parts, firefighting equipment, tools, and service-related components. You will work directly with municipal fire departments, industrial clients, in-house technicians, and suppliers to ensure timely and accurate parts support.

The ideal candidate is detail-oriented, mechanically inclined, and enjoys working in a professional technical environment where accuracy and customer service are essential.

RESPONSIBILITIES AND DUTIES

Customer Service & Sales Support

· Assist walk-in, phone-in, and email customers with parts inquiries in a professional and timely manner.

· Provide accurate parts identification using catalogs, schematics, OEM systems, and internal databases.

· Prepare and process quotes, invoices, and parts orders for both retail and internal service needs.

Technician & Internal Support

· Work closely with the service department to ensure technicians receive the correct parts the first time.

· Source parts from multiple suppliers, OEM partners, and distributors to minimize downtime.

· Support warranty and special-order parts processes as required.

Inventory & Ordering

· Maintain organized parts stock, including receiving shipments, labeling, shelving, and cycle counts.

· Perform both order and quote follow-ups weekly to keep customers up to date and on track with orders.

· Ensure accuracy of incoming and outgoing shipments through verification and documentation.

Administrative & Computer Systems

· Enter parts orders, returns, and adjustments using dealership software systems.

· Maintain accurate records for invoices, purchase orders, backorders, and supplier communications.

· Assist with shipping and receiving documentation and coordination as required.

Customer & Supplier Coordination

· Build strong relationships with suppliers to ensure efficient order processing and accurate lead times.

· Coordinate with customers on order status, backorders, delivery times, and special requests.

· Resolve customer concerns professionally and ensure a positive overall experience.

QUALIFICATIONS & SKILLS

· Experience in a similar role such as Parts Counter, Parts Advisor, Service/Parts Clerk, or related position.

· Mechanical aptitude or familiarity with heavy vehicles, trucks, machinery, or equipment.

· Strong customer service skills with a professional communication style.

· Proficiency with Microsoft Office and dealership/parts management systems.

· Highly organized with strong attention to detail and accuracy.

· Ability to work independently and as part of a team in a fast-paced environment.

· Valid driver's license required.
