Job Overview

JRS College is seeking a HubSpot & Systems Operations Manager to take full ownership of our HubSpot platform and lead cross-department coordination for all CRM, automation, and workflow processes. This role is ideal for someone who thrives in a fast-paced startup environment and can work closely with admissions, operations, marketing, finance, and academic teams to streamline processes and improve efficiency across the college.

Key Responsibilities

  • Own and manage the entire HubSpot CRM for the college, including automation, workflows, pipelines, notifications, and integrations.
  • Coordinate with all departments (Admissions, Sales, Marketing, Academic, Finance, Operations) to understand workflow needs and implement CRM improvements.
  • Build, update, and optimize end-to-end processes that support lead management, student lifecycle, communication automation, and reporting.
  • Maintain system documentation and ensure data accuracy, user access controls, and compliance.
  • Train team members on HubSpot features and best practices; act as the internal go-to HubSpot expert.
  • Collaborate with IT vendors where required for system enhancements, integrations, or troubleshooting.

Requirements

  • 2–4+ years of HubSpot CRM management experience.
  • Strong understanding of workflows, automations, lists, forms, deal pipelines, and CRM data structures.
  • Ability to translate department needs into simple, effective HubSpot processes.
  • Experience working in fast-growing, startup-style environments is an asset.
  • Excellent communication, documentation, and cross-department coordination skills.

Job Type: Full-time

Pay: $45,000.00-$62,000.00 per year
