The Australian and New Zealand College of Anaesthetists (ANZCA) incorporating the Faculty of Pain Medicine, is an internationally recognised specialist medical education institution responsible for the training, examinations, specialist qualification, and continuing professional development of all anaesthetists and pain medicine specialists in Australia and New Zealand.
The college's purpose is to serve our communities by leading high quality patient care in anaesthesia, perioperative and pain medicine, optimizing health and reducing the burden of pain.
About the opportunity:
Reporting to the General Manager, Regional Operations and NSW Regional Manager, the Events Coordinator will be responsible for:
- Planning and executing NSW-based events including Continuing Medical Education (CME) meetings, workshops, and Annual General Meetings.
- Coordinating logistics for ANZCA written exams, clinical vivas, and trainee courses.
- Supporting the NSW Anaesthetic Continuing Education (ACE) Committee and other regional committees.
- Managing venue bookings, AV support, catering, speaker travel, sponsorships, and event communications.
- Providing administrative support including budgeting, invoicing, minute-taking, and post-event reporting.
- Maintaining accurate records and databases, including the iMIS system and EventsAir App.
This position involves working outside normal working hours, travelling to external venues and the occasional overnight stay (evening and weekend), attending conferences, meetings and examinations. Events and meetings are planned well in advance (usually 12 months ahead). Time in lieu arrangements are in place.
About the team:
The Regional team forms part of a supportive national group of regional teams, headed by the General Manager Regional Operations. We work across multiple time zones in Australia. The regional team is also a part of the Fellowship Affairs team. We have a can-do attitude, we are focused, friendly and driven to achieve the best outcomes for our trainees and fellows.

Specifically, you will have:
Essential:
- Sound experience in an administrative position gained in event management in a professional environment
- Demonstrated experience coordinating meetings and events, including budgeting and financial management
- Experience supporting professional committees including preparing agendas and taking minutes
- Excellent planning and organisational skills with strong logistics management abilities; the ability to effectively handle workload peaks and troughs and manage conflicting priorities
- Sharp attention to detail
- Strong initiative and judgement, including a willingness to learn and take on new tasks, the ability to work independently and escalate matters as required
- Strong team orientation, the ability to work collaboratively with others and provide back up support in periods of peak workloads or absences
- Excellent written communication skills, including experience of the preparation of accurate and concise minutes and the ability to produce a range of professional correspondence and event collateral
- Sound interpersonal skills, including the ability to effectively relate to a broad range of individuals
- Strong customer service orientation
- Well-developed computer skills:
- Intermediate: MS Word, Excel, Publisher, Powerpoint
- Ability to learn and use the in-house database system (IMIS)
- Website content management system experience
- Aptitude to learn, use and coach others in the use of online meetings and Networks (LCMS)
Desirable:
- Experience in an education or medical organisation would be an advantage
- Experience in the use of information database systems
- Experience working in a committee environment
- Experience with Zoom on line meeting platforms
