Froude Management Inc. (FMI) is seeking a
Project Administrator

to support a wide range of ICI construction projects from pre-construction through closeout. This role works closely with Project Coordinators and Managers, Superintendents, and consultants to keep project documentation, communication, and follow-ups organized and moving forward.

The ideal candidate is highly organized, confident in communication, comfortable making frequent phone calls, and experienced using Procore to support day-to-day project administration.

Responsibility

·
Project & Document Administration

o   Provide administrative support to project and site teams across one or more active projects

o   Maintain accurate and up-to-date project documentation using
Procore

o   Create, distribute, track, and follow up on
RFIs, submittals, shop drawings, and site instructions

o   Ensure timely responses from consultants, subcontractors, and suppliers through consistent follow-up

o   Assist with project reporting for owners, including status updates, logs, and summaries

o   Maintain organized digital filing systems in accordance with FMI standards

o   Support quality control documentation and deficiency tracking

o   Ensure project records align with internal standards and regulatory requirements

Communication & Coordination

o   Act as a key point of contact for subcontractors, suppliers, and consultants on administrative matters

o   Make frequent phone calls and send follow-up emails to trades and consultants to keep items moving

o   Coordinate meetings, prepare agendas, take meeting minutes, and distribute action items

o   Support clear and professional communication between project stakeholders

Procurement & Financial Support

o   Assist with subcontractor tendering, bid tracking, and award documentation

o   Prepare purchase orders, subcontract documentation, and change order logs for review

o   Assist with invoice processing, cost tracking, and documentation

o   Support progress billings and basic project financial reporting

General Administration

o   Assist with preparation of proposals, reports, and presentations as required

o   Create and maintain templates, logs, and tracking tools

o   Support project closeout documentation, including O&M manuals and warranties

o   Build and maintain strong working relationships with internal teams and external partners

Job Skills & Qualifications

• Minimum
  1–2 years of experience
  in a Project Administrator, Project Coordinator, or construction administrative role (ICI experience preferred) in Vancouver, British Columbia
• Strong written and verbal communication skills, with confidence speaking to trades and consultants
• Comfortable making
  multiple phone calls daily
  and proactively following up on outstanding items
• Proficiency in
  Procore
  and Microsoft Office Suite (Word, Excel, Outlook)
• Highly organized with strong attention to detail
• Ability to manage multiple priorities and deadlines in a fast-paced construction environment
• Proactive, self-motivated, and solution-oriented
• Professional and service-oriented approach internally and externally
• Ability to develop and maintain effective stakeholder relationships
