The Role – Customer Order Coordinator
*This is a full-time, Monday to Friday position. Please do not apply if you are only interested in working part-time or during summer break.
In this role, you'll be the link between our customers and our production team—making sure every ribbon and rosette order is correct, feasible, and production-ready. You won't be the first point of contact for incoming calls, but you will follow up with customers to clarify details, confirm changes, and ensure nothing gets lost in translation.
While your main focus will be on order management, you'll also provide occasional accounting coverage, such as preparing invoices when the accounting team is away. This includes verifying prices and noting any extra costs that may apply when customers change or add to their designs.
We'll train you in the world of ribbons and rosettes—no prior experience needed—but your natural eye for detail, organizational skills, and comfort working with both words and numbers will set you up for success.

Key Responsibilities
- Review order details and clarify with customer via email and phone
- Writing up and send out order confirmation
- Create precise work orders for production using provided Excel spreadsheet templates
- Maintain organized, accurate records of all orders
- Communicate clearly with the production team to prevent errors and ensure timelines are met.
- Support our operation manager with occasional administrative tasks.
- Provide invoice preparation coverage for Accounting team when needed
What You'll Bring
- Sharp attention to detail – you notice when a number is off, a color code doesn't match, or a size seems wrong.
- Innate passion/interest in the ribbon world – curiosity about how products are made and pride in getting the details right.
- Eagerness to learn our unique production process and systems.
- Ability to spot potential issues and confidently raise them with the team.
- Excel proficiency – confident working with spreadsheets and inputting accurate data quickly.
- Excellent time management – able to juggle multiple orders without losing track.
- Bonus: Experience with Microsoft Office and Invoicing software (i.e. Sage 50)
