Who You Are:
You are a highly organized, detail-oriented, and motivated individual who excels at managing relationships and coordinating complex projects. You thrive in fast-paced environments and enjoy collaborating with cross-functional teams to bring live events to life. With a strong sense of ownership and an eye for detail, you take pride in supporting sponsorship sales, vendor management, and project coordination across a range of festivals and events.
The Fine Print:
- Coordinate vendor and sponsorship activities for events, including ongoing communication with the City of Burlington and other municipal partners.
- Support the development and implementation of sponsorship sales strategies and campaigns for both city-led and company-produced festivals and events.
- Research, identify, and pursue year-round sponsorship opportunities to support 365 annual programming.
- Provide administrative and executional support for sponsorship outreach, tracking, and fulfillment across multiple events.
- Use Asana project management software to ensure transparent project tracking.
- Build and maintain tracking documents in Google Sheets or Excel.
- Collaborate with marketing, operations, and production teams to ensure sponsor deliverables are executed accurately and on time.
- Manage key sponsor accounts to ensure consistent communication, deliverables are met, and relationships are maintained.
- Oversee the full invoice lifecycle, including requesting, filing, tracking, and reconciliation to ensure accurate and timely payment collection.
- Act as a promoter representative for shows in Hamilton and surrounding areas as required.
- Collaborate with internal teams to support the planning and execution of new business and events in the Eastern Region.
- Assist the Events team with corporate and group sales initiatives as needed.
- Attend in-person meetings and site visits, as needed, in the Eastern Region.
- Perform other duties as assigned.
We Are Looking for Someone With:
- Minimum 3+ years of related experience.
- Experience working in cross-departmental teams or structures.
- Proven ability to manage multiple priorities and tasks simultaneously.
- Highly self-motivated, organized, and detail-oriented.
- Strong interpersonal communication skills, including tact, assertiveness, and the ability to communicate across all levels of an organization.
- Excellent written and verbal communication skills.
- Ability to work both independently and collaboratively as part of a team.
- Constructive problem-solving approach with creativity and adaptability.
- Comfort standing and/or walking for long periods during event execution.
- Work experience in live music and large-scale event environments considered an asset.
- Strong organizational skills and the ability to prioritize multiple projects effectively.
- Professional communication skills via Slack, Email, Google Meet, and Phone.
- Valid driver's license and access to a vehicle.
- Experience with HubSpot Sales considered an asset.
- Experience with Asana and/or Google Drive considered an asset.
