This Business Administration Co-Op offers a unique opportunity for accelerated professional growth. You will gain hands-on, real-world experience by managing the end-to-end invoicing process for a major project, covering critical areas like reconciliation, bookkeeping, and cross-functional collaboration. Strong performers will be considered for permanent conversion after the 4-month term, offering a clear path to an ongoing role within the supportive Calgary team. This role is ideal for someone who is detail-oriented, analytical, and curious about how operational efficiency support successful growing organizations.

Key Responsibilities:
The primary responsibilities are focused on maintaining financial accuracy and administrative efficiency, listed here by priority:
- Perform alternating bi-weekly reconciliation of work orders between internal and external systems to prepare accurate invoices for a major contract. This is the most critical and challenging aspect of the role, requiring strong prioritization.
- Process vendor payments bi-weekly, with the goal of transitioning to the Yooz system to align with corporate procedures.
- Assist the finance team with recurring monthly tasks, including credit card reconciliations and journal entries.
- Update compliance websites monthly or as required with hours worked per site, and support HR in updating compliance websites with location-specific requests.
- Assist the Field Services team with onboarding technicians for various work as needed, including site-specific onboarding and Health & Safety updates.
- Check the main phone line messages daily and direct calls/messages as needed. Coordinate office services (e.g., water delivery) and ordering supplies for both regional locations.
1. Skills & Competencies
- Required experience in data entry, using formulas, data manipulation, and multi-system reconciliation.
- Strong written and verbal communication skills.
- Self-directed with the ability to prioritize and initiate tasks independently, specifically managing bi-weekly invoicing deadlines alongside urgent, ad-hoc administrative requests.
- High attention to detail and accuracy.
- Analytical thinking for data reconciliation.
- Time management skills for bi-weekly deliverables.
- Comfort with mathematical calculations and data validation.
- Office administration or bookkeeping experience is beneficial but not essential.
