The Ministry of the Solicitor General, Ontario Provincial Police, and the Fleet, Supply and Weapons Services Bureau is seeking an individual with effective organization and coordination skills to implement and coordinate the Electronic Motor Pool Reservation system.

In this exciting, rewarding and challenging opportunity, you will be responsible for maintaining the motor pool system, assisting with vehicle dispatch and returns, performing routine inspections and minor maintenance, ensuring vehicle readiness and cleanliness, managing parking assignments, and handling small purchases related to vehicle upkeep.

About the job

Motor vehicle management responsibilities include overseeing the implementation and ongoing operation of the Electronic Motor Pool Reservation system. This involves ensuring that all vehicles are clean, regularly inspected, and maintained in accordance with departmental standards, including performing minor maintenance tasks as needed. The role also includes organizing and maintaining the motor pool lot, managing parking assignments, and ensuring appropriate signage is in place. Additional duties involve purchasing fuel, fluids, and minor parts, as well as performing other related tasks as assigned.

Mandatory requirements
  • Ability to pass an OPP background security investigation.
  • Must possess a valid Ontario Class G Drivers' License.
Knowledge and Technical Proficiency:
  • Understanding of preventative maintenance techniques and internal record-keeping processes to ensure vehicles are maintained and tracked properly.
  • Proficiency in Microsoft Office Suite (Word, Excel, Access, Outlook) and other systems to maintain databases, compose reports, and communicate effectively.
Interpersonal and Communication Skills
  • Use clear oral communication to coordinate vehicle, personnel, and material pick-up/delivery with staff and vendors, and to address service or complaint issues courteously.
  • Maintain accurate written records and logs of vehicle usage, maintenance, and repairs
Problem Solving and Complexity
  • Apply reasoning and problem-solving skills to adjust vehicle bookings based on time and availability, and determine when to escalate maintenance issues or perform minor repairs.
  • Use evaluative judgment to decide when routine checks (e.g., oil, tire pressure) are necessary to maintain vehicle safety.
  • Plan and coordinate passenger drop-offs and schedule maintenance to avoid conflicts with delivery or operational timelines.
Judgement and Discretion:
  • Work independently within established procedures, deciding when to perform routine vehicle maintenance and referring complex or undefined issues (e.g., conflicting priorities) to the supervisor.
  • Recommend major repairs based on visual inspections and maintenance schedules, ensuring timely escalation when needed.
