Job Summary:

We are seeking a client-focused and tech-savvy Client Service Associate to join a growing team. This role is critical to maintaining strong client relationships, ensuring smooth operations, and supporting the firm's business activities. The ideal candidate will bring a keen attention to detail, exceptional communication skills, and a strong understanding of the insurance industry.

Key Accountabilities (including but not limited to):

Client & Policy Administration

  • Prepare in-force illustrations, update client information, and process policy changes (e.g., beneficiary designations, change of ownership).
  • Document meeting notes, perform accurate data entry, and provide necessary client documentation.
  • Maintain organized records and ensure compliance with industry regulations.

Scheduling & Process Management

  • Proactively manage scheduling to ensure smooth coordination of client appointments.

Administrative & Operational Support

  • Contact carriers, manage communication with financial institutions, and coordinate courier and mail services.
  • Prepare correspondence, maintain compliance documentation, and organize financial statements.
  • Assist advisors in preparing for client meetings with relevant reports and materials.

Customer Relationship Management & New Business Operations

  • Manage and maintain the CRM system to ensure accurate client data.
  • Respond to client and advisor inquiries and prepare summaries, proposals, and relevant updates.

Technology & Client Support

  • Utilize Microsoft Office Suite efficiently.
  • Provide technical support to clients and internal teams.
  • Support technology solutions to enhance the client experience.
  • Demonstrate strong comfort with cloud-based tools and digital workflows to minimize IT support needs.

Qualifications:

  • 2–5 years of combined experience in the insurance industry and administrative roles.
  • Proficiency with Microsoft Office Suite.
  • Strong technical aptitude and ability to navigate systems independently.
  • Good understanding of financial services products, policy provisions, and administrative procedures.
  • Self-starter with strong organizational skills.
  • Excellent verbal and written communication skills.
  • Group insurance knowledge an asset.

Preferred Qualifications:

  • Bachelor's degree or college diploma.
  • Experience using Customer Relationship Management (CRM) software.
  • Fluency in oral and written French.
