Your Role

As the Operations Manager, you will be responsible for the entire operational ecosystem of our real estate brokerage. You will own and refine the systems that support our agents, manage the technology that powers our business, and drive key projects from concept to completion. This is a leadership role for someone who is comfortable wearing multiple hats, takes initiative, and is passionate about building scalable, efficient processes.

As we grow, this role is designed with a clear path for progression. We expect it could evolve into a Director of Operations position within 18-24 months, provided the company hits growth milestones and the individual demonstrates the ability to lead at that scale.

Strata is a tech-forward real estate brokerage in Toronto, powered by our popular online platform, With a team of 85 agents and a small, dedicated administrative and development team, we combine the innovation of a tech startup with the fast-paced energy of a top-producing brokerage.

We are entering a new phase of expansion, with a significant recruiting initiative and strong positioning for growth in the coming years. As we scale, we're looking for a highly organized and proactive Operations Manager to become the central hub of our brokerage.

This person will be a critical, collaborative partner to the CEO, taking true ownership of the business's operational health and playing a key role in driving efficiency, initiative implementation, agent success, and company-wide growth. The ideal candidate is a natural problem-solver who excels at creating systems, managing complex projects, and thrives in a dynamic environment where they are empowered to make a significant impact.

Key Responsibilities

Qualifications:

  • 4+ years of experience in an operations management role, with a proven track record of building and scaling systems.
  • Direct operations experience within a real estate brokerage is a mandatory requirement.
  • Demonstrated ability to act as a strategic partner to leadership, translating business goals into actionable operational plans.
  • High proficiency with CRM systems (e.g., Follow Up Boss) and project management tools.
  • A proactive, "owner's mindset" with exceptional problem-solving skills; you don't just complete tasks, you identify and solve root-cause issues.
  • Excellent communication and interpersonal skills, with the ability to manage relationships with diverse stakeholders, from agents to developers.
  • Meticulous attention to detail and outstanding organizational abilities.
  • Bachelor's degree in a related field is an asset.

Strategic & Operational Leadership

  • Act as the primary operational leader, taking initiative to oversee all day-to-day functions of the brokerage and ensure seamless execution.
  • Lead the development and implementation of brokerage SOPs and policies to enhance efficiency and agent performance.

  • Lead and manage key brokerage projects and initiatives, from the rollout of new agent benefits to the launch of major company-wide programs.
  • Serve as a strategic gatekeeper to the CEO, independently managing day-to-day operations to ensure leadership can focus on high-priority business objectives.
  • Manage and build out operational support by hiring and overseeing contractors and freelancers for key functions (e.g., data entry, administration).

Agent Success & Brokerage Growth

  • Manage the complete agent lifecycle, from coordinating a smooth and welcoming onboarding process to handling professional off-boarding.
  • Drive agent accountability by managing lead policies, tracking performance metrics, and conducting agent tests to ensure adherence to brokerage standards.
  • Play a central role in supporting our expansion and recruiting efforts, ensuring new agents are onboarded effectively and fully integrated into our systems.
  • Serve as a key point of contact for agents, providing guidance, resolving routine internal conflicts, and fostering a positive and collaborative culture.

Technology & Systems Management

  • Serve as the go-to expert for our CRMs (Follow Up Boss and our custom Strata CRM), providing support and training to agents.
  • Act as the bridge between our agents and our development team, translating operational needs into technical requirements and communicating website issues for resolution.
  • Manage content and data within the Strata CRM, such as new listings, agent profiles, and mortgage rates.

Marketing & Brand Coordination

  • Serve as the primary communicator for company-wide announcements and updates to agents.
  • Manage the creation and ordering of agent marketing assets, including business cards, signage, and headshots.
  • Coordinate the development and distribution of brokerage communications.

Financial & Administrative Oversight

  • Manage all paid subscription services, ensuring they provide value and are utilized effectively.
  • Handle the booking of office resources and coordination for in-office events and photoshoots.

Work Environment:

This is a hybrid role. You will be expected to work from our Toronto office one day per week to foster collaboration, with the flexibility to work remotely for the remainder of the week. Occasional attendance at evening agent events (2-4 times per year) is also expected. If you're located outside of the city and are well qualified, we may agree to a more remote position.

Hours:

This is a full-time position, Monday to Friday. While the role primarily operates during standard business hours, occasional flexibility is required for rare, time-sensitive issues that may arise outside of the 9-5 schedule.
