Location - This role is hybrid with a mix of remote and in-person work at Enterprise Square.

The Annual Giving Office at the University of Alberta is the building block for all private philanthropic support. The Annual Giving Office allows the University to pool support from multiple donors to meet the current and pressing needs of students and researchers in the faculties and the university as a whole. Reporting to the Senior Annual Giving Officer, the Annual Giving, Program Coordinator provides front line contact and service for annual donors, helps coordinate and produce multiple online giving vehicles and strategies, coordinates a complex Annual Giving calendar process, works with students on fundraising projects, and provides project and operational support for the Annual Giving unit. The Annual Giving, Program Coordinator also provides day to day program support to the Annual Giving team. The incumbent will be a fully participating member in all Annual Giving team meetings and the incumbent works collaboratively with Development and Alumni Relations colleagues, student groups, and various units across campus, while contributing to the overall direction of the annual giving strategy.

The Vice-President - External Relations leads the University of Alberta's efforts to enhance and protect its reputation locally, nationally, and globally. This role oversees the development and execution of strategic initiatives that shape how internal and external audiences perceive the university.

With a focus on communication, engagement, and relationship-building, the Vice-President provides leadership for Communications and Marketing, Alumni Relations, Advancement, and Government and Community Relations. These teams collaborate to support the university's brand, foster donor and alumni engagement, and establish strong connections with public and community partners.

Through these coordinated efforts, the Vice-President - External Relations ensures the university's image, influence, and impact are advanced in alignment with its mission, values, and long-term goals.

  • Coordinates the execution and tracking of the comprehensive Annual Giving direct response appeal calendar, ensuring the timely deployment of all mail and email solicitations.
  • Collaborates with the Senior Annual Giving Officer, Program Coordinator, Annual Giving, Faculty Development fundraisers, University Development fundraisers, members from Marketing and Communications and other relevant Development and Alumni Relations staff to seamlessly determine individuals and constituencies from direct response appeals and develop, implement and support the targeted engagement programs.
  • Coordinate and maintain data integrity for all direct response campaigns, including list segmentation, spot-checking, developing standard exclusions, and generating appeal codes. Maintain accurate records of donor interactions and transactions within the fundraising database.
  • Analyze and report on the performance of all direct response activities, including email metrics and overall giving progress using tools like Tableau and RFIs.
  • Provide technical oversight for the Annual Giving web presence, including troubleshooting and maintaining online giving websites and vehicles and processes and track incoming telephone and online donations.
  • Coordinate electronic communications, including the design, distribution, and content management of electronic solicitations, reminders, and stewardship correspondence.
  • Coordinates class giving activities both on campus and online, while collaborating closely with Alumni Relations and/or faculties on class and reunion giving initiatives.
  • Respond to incoming donor inquiries in a professional and timely manner and process donations received by phone, ensuring accuracy, confidentiality, and compliance with institutional and privacy standards.
  • Actively participate in fundraising-related webinars, workshops, and professional development sessions to stay informed on emerging trends and best practices in annual giving.

  • Post-secondary Diploma; equivalent combinations of education and experience may be considered

  • At least two years' experience in Marketing, Customer Service, Fundraising, Public Relations, or Communications.
  • Familiarity and confidence with current technologies, including content management systems, contact management systems, mass electronic distribution systems. Strong understanding of online websites, online giving strategies, and social networking tools and programs.
  • Strong project management skills and demonstrated ability to meet deadlines.
  • Proficient with MS Office, Google Mail, Google Docs, Google Sheets, and Google Apps
  • Familiarity with Advance fundraising software (or equivalent) is considered an asset.
  • Must possess excellent organizational skills and commitment to customer service.
  • Comfortable conducting phone-based stewardship and solicitation conversations with donors and prospects.
  • Demonstrated experience handling financial transactions or processing payments with a high level of accuracy and discretion.
  • Commitment to continuous learning and staying current with fundraising and donor engagement trends through participation in webinars and training opportunities.
