About the Role:
The Talent Assistant supports Blüm's vision of a world-class, professional, and dignified early learning environment by assisting with the full talent lifecycle. Working closely with the Founders and the Regional Manager, this role provides essential administrative and logistical support across posting, hiring, onboarding, training coordination, certification tracking, and educator recognition.
As an anchor within Blüm's Talent function, the Talent Assistant helps ensure that all people-related processes remain organized, compliant, and aligned with Blüm's ethos of excellence and intention. This role is ideal for someone who is detail-driven, dependable, and committed to supporting a high-standards, professional team environment.
Primary Responsibilities:
Recruitment & Talent Acquisition
- Post and manage all external job listings on Indeed and other recruitment platforms.
- Pre-screen candidates, host first interviews, and coordinate second interviews with Founders or leadership.
- Maintain and update the Talent Matrix, ensuring visibility of all active and prospective candidates.
- Support recruitment strategy discussions, attend feedback sessions, and keep potential hires "warm" through ongoing communication.
- Track hiring data and prepare summaries for Founder and Regional Manager review.
Onboarding, Offboarding & Compliance
- Host onboarding sessions and prepare all new-hire materials, checklists, and digital documentation.
- Ensure completion of all required documents and certifications prior to start dates.
- Oversee the full Humi process, including onboarding, status updates, benefits setup, and offboarding workflows.
- Host offboarding sessions and collect final feedback, ensuring all documentation is complete and confidential.
- Track and renew CPR, First Aid, and police clearances for all team members.
Training, Certification & Professional Growth
- Design, deliver, and grade Blüm's internal certifications, issuing certificates upon completion.
- Maintain version control and continuous improvement of certification materials and forms.
- Support applications for government professional development funding, ensuring educators access available resources.
- Track completion of all Blüm Core Certifications, and manage follow-up for renewals or lapsed requirements.
- Assist with professional development tracking and documentation for audits and leadership review.
Performance, Recognition & Retention
- Own the performance review process, including scheduling, documentation, and salary adjustments.
- Serve as the benefits liaison, ensuring timely communication and support for benefits-related inquiries.
- Ensure birthdays, work anniversaries, and milestones are acknowledged across all campuses.
- Maintain and update the Team Matrix to reflect accurate staffing, certifications, and leadership alignment.
- Coordinate individual educator check-ins and support retention strategies with Founders and Regional Manager.
Culture, Communication & Future Planning
- Uphold Blüm's professional and intentional communication standards across all staff correspondence.
- Host team and talent meetings as needed to review projections, feedback, and engagement goals.
- Support Founder and Regional Manager in preparing long-term talent planning and forecasting.
- Contribute to the continued evolution of Blüm's culture by modeling professionalism, warmth, and excellence in every interaction.
Ideal Candidate
The ideal candidate is poised, organized, and deeply aligned with Blüm's values of professionalism, warmth, and excellence. They bring a quiet confidence to every interaction, handling sensitive information with discretion and clarity. Their attention to detail is matched by a genuine interest in people—seeing recruitment, onboarding, and recognition as opportunities to shape culture, not just complete tasks. They thrive in a fast-paced environment, balancing administrative precision with emotional intelligence, and take pride in maintaining structure, communication, and aesthetic harmony across all talent processes. Above all, they understand the importance of supporting a high-standards team environment and approach their work with intention, calm, and respect.
Holding a Level 1 Early Childhood Educator Certificate is an asset but not required.
