What You'll Be Doing

Supporting Patient Co-Ordination and Care:

Key Responsibilities:

  • Appointment Management: Schedule, confirm, and coordinate patient visits while optimizing provider availability.
  • Patient-Provider Matching: Ensure patients are paired with the right healthcare professional based on their needs.
  • Billing & Insurance Processing: Verify coverage, process claims, manage payments, and resolve billing inquiries.
  • Patient Experience & Office Efficiency: Oversee check-ins, maintain records, handle inquiries, and enhance workflow.
  • Exceptional Patient and Client Interactions: You must provide consistently compassionate, respectful, and supportive communication with all clients. Every interaction should help clients feel heard, valued, and cared for.
  • Positive, Fun, and Professional Energy: A welcoming and uplifting presence is essential. Team members should bring a friendly spirit while remaining grounded in the practice's commitment to quality care.
  • Supporting Clients in Distress: You are required to confidently assist clients over the phone who may be anxious, overwhelmed, or emotionally distressed. This includes staying calm, listening carefully, and responding with empathy and professionalism

You must provide consistently compassionate, respectful, and supportive communication with all clients. Every interaction should help clients feel heard, valued, and cared for.

Attention to Detail- We rely on the client relations team to ensure details aren't missed. You are our DNA to getting the work done and shape the client and provider experience.

Flexible Schedule – Evening and one weekends are required on a rotation basis to ensure client accessibility and team coverage.

What We're Looking For

5+ years of customer or patient experience

Experience managing a medical or wellness office (bonus points if you've helped build one from the ground up)

Proficiency in JaneApp and Asana (or similar platforms).

A natural leader and mentor who can inspire and develop a dynamic team.

A passion for client relations, process improvement, and operational excellence.

Thrives in a fast-paced, high-growth environment with a strong ability to pivot when needed.

Strong problem-solving skills and the ability to keep a cool head in high-pressure situations.

A positive, forward-thinking mindset with a commitment to client-centered care.
