Job Summary
We are seeking a detail-oriented and highly organized Sales Support & Parts Sales professional to support our sales, production, logistics, and customer service teams. This role is essential to ensuring accurate order processing, responsive customer communication, and smooth coordination across departments to deliver a high-quality sales and after-sales experience.
This position is ideal for someone who enjoys multitasking, working cross-functionally, and being a key point of contact for customers, dealers, and internal teams.
Key ResponsibilitiesSales & Administrative Support
- Maintain accurate CRM records in HubSpot (leads, deals, interactions, and accounts)
- Generate sales activity, performance, and order-tracking reports
- Manage sales and marketing materials, including brochures, spec sheets, and dealer kits
- Keep online and print catalogues, product listings, and website content up to date with current models, specifications, pricing, and media
Order Management & Documentation
- Enter and verify sales orders in Intuitive ERP
- Prepare and finalize invoices for units and parts, process payments, and confirm freight and miscellaneous charges
- Track trailer builds and provide customers with timely production and delivery updates
- Process parts orders received via phone and online requests
Customer & Dealer Communication
- Respond to inquiries regarding product availability, specifications, pricing, and delivery timelines
- Proactively communicate order status changes, delays, and delivery confirmations
- Coordinate resolution of shipping issues, damages, or scheduling concerns
Shipping & Logistics
- Schedule transportation and coordinate freight for on-time delivery
- Prepare domestic and international shipping documentation (bills of lading, regulatory forms)
- Manage dealer inventory levels and coordinate restocking logistics
Product, Quoting & Compliance Support
- Prepare detailed and accurate custom quotes based on customer requirements
- Provide configuration guidance using spec sheets or configuration tools
- Coordinate pricing with finance and production for custom, bulk, or dealer orders
- Support compliance with Transport Canada and provincial safety standards
- Assist with warranty claims and recall communications
- Monitor customer feedback, market trends, and competitor offerings
Tools & Systems
- CRM / ERP: HubSpot, Intuitive ERP, NetSuite, QuickBooks
- Productivity: Google Workspace, Microsoft Office (strong Excel skills required)
- Shipping & Logistics: LTL freight portals, Purolator, Loomis, internal systems
- Design: Basic CAD familiarity is an asset

Qualifications
- 2+ years of experience in sales support, parts sales, order management, operations, or a related role
- Experience with CRM and ERP systems (HubSpot and Intuitive ERP preferred)
- Proficiency in Microsoft Excel and general business software
- Experience in manufacturing, transportation, or equipment industries is an asset

Job Type: Full-time
Pay: $41,600.00-$52,000.00 per year
